Job Description

We are seeking an Office Management Assistant (OMA) to provide secretarial and administrative support to the manager and staff of two departments, the Systems Biology Department and the Biotechnology and Bioengineering Department (two managers and approximately forty employees). You will help run the day to day operations of these dynamic and diverse scientific and engineering research and development organizations. You will be expected to work independently, and to team effectively with managers, staff, other management assistants, and to project a positive, engaging, and professional image to visitors and callers. You will need to use discretion and discernment when handling high-level contacts and when exposed to sensitive information. On any given day, you may be called on to do the following: + Maintain multiple calendars, answer phone calls, arrange meetings, including teleconferencing and videoconferencing, and oversee signature items; + Work proficiently with common office software for word processing, spreadsheets, presentations, and collaboration; + Learn to use enterprise applications and serve as an information source on organizational policies and procedures; + Prepare purchase requisitions for lab and office equipment, and assist with procurement card purchases and statement reconciliation; + Make travel arrangements, and submit travel expense reports; + Work on event and travel coordination, including hiring candidate travel and interview schedules, tours and accommodations for visitors, clearance transfers for management and staff, and arranging and supporting visits by foreign national visitors and assignees; + Team closely with Center OMAs to assure Center success, and partner with other administrative support staff in the Division, lab-wide (in California and New Mexico), and with external customers to cultivate a collaborative environment.

Required:
+ High school diploma plus three years of directly related experience; or equivalent combination of education and experience; + Proficiency using Microsoft Word, PowerPoint, Excel and Outlook; + Ability to protect sensitive and confidential information appropriately; + Ability to obtain and maintain a DOE Q-level security clearance.

+ Experience working in a fast paced, dynamic environment: proven ability to handle day-to-day operations in a large department; + Enthusiasm for working in a technology-rich environment, especially one or more years work experience in a relevant business, academic or government position; + Bachelors' degree from an accredited university.

Department Description:

The Systems Biology Department performs biological and bioengineering research with applications in national security, healthcare, and alternative energy. The department is composed of a multidisciplinary team of staff, postdocs, technologists, and students with expertise in microbiology, virology, molecular biology, computational biology, and analytical chemistry. The basic research activities in the department are focused on the identification and characterization of clinical and environmental pathogens, developing a systems-level understanding of host-pathogen interactions, and microbiomes relevant to human health and the environment. Applied research activities are focused on enzyme and microbial engineering for biofuels development, biological detection, and medical diagnostics..

Security Clearance:

Position requires a Department of Energy (DOE) Q-level security clearance. Sandia is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications.
