The Huffington Center on Aging is one of the premier centers on aging in the world. It was instituted in 1988 and its mission is to improve the quality of lives of people as they age through programs of research, education and patient care in Baylor College of Medicine. The HCOA is committed to translating basic and clinical research discoveries, made in the laboratory, into treatment applications that will benefit those individuals who suffer from diseases and conditions that affect the elderly.

Job Purpose


The financial and grants coordinator position is embedded in the basic research area and works closely with the Center Administrator to maintain all accounts in good order, following compliance regulations, project budgets and forecast trends. An important goal of this position is to inform all PIs and laboratories of their financial standing in a timely manner and help them meet their financial project goals. The incumbent is also responsible for the post-award management of all grant accounts, ensuring that grants are spent according to the sponsors’ guidelines and that carry over requirements are met. The incumbent should have or quickly gain an intrinsic knowledge of the grant sponsors, the grant requirements and application and funding processes.

Job Responsibilties
  • Works with administrator, principal investigator and Grants and Contracts to open, close, and monitor, grant, subcontract, and unrestricted accounts and pending accounts.
  • Sets-up, reviews and updates documentation pertinent to grants, including application guidelines, contracts, invoices, close-out financial reports, etc.
  • Advise faculty of the financial requirements for grant applications and assists with the preparation of the budget and other documents as needed.
  • Provides faculty members with account balance reports, laboratory expenses forecasts and advice regarding budgets. 
  • Reviews and approves financial reports prior to submitting to the sponsor. Works on final financial report and other documents as requested by the sponsor.
  • Maintains records for each grant or account, including applications, revenue checks, communication with sponsor, etc.
  • Corresponds with Sponsored Programs Office, Grants and Contracts, Accounting, and Finance regarding departmental accounts.
  • Tracks documentation, uploads documents, communicates with central departments, to troubleshoot all blocked invoices and problem POs.
  • Processes account and budgetary tasks such as JVs, budget revisions, clearing encumbrances, updating personnel cost distributions, PO changes, goods receipts. Processes all department reimbursements, check requests and expense transfers.
  • Initiates and processes check requests, purchase orders, petty cash in SAP for Huffington Center on Aging and the Section of Geriatrics.
  • Approves SRM orders and monitors account balances.
  • Prepare, review and submit travel documents for HCOA personnel Required skills.
Minimum Qualifications


  • Bachelor's degree in Business Administration or related field. Four years of related experience may substitute for degree requirement.
  • Three years of relevant experience.
  • Must be detailed oriented and able to analyze a variety of financial documents. 
  • Ability to communicate complex information in a simple manner.
  • Self-motivated and driven; capable of working independently and with limited supervision.


Preferred Qualifications
  • Experience with grant applications.
