Job Description

Job Purpose

This role has two main functions:

  • Acting as the coordinator for education-related services and scholarly activities by CCM faculty members who have a focus in medical education, including functioning in a major supportive role for the Pediatric Critical Care Fellowship Program.
  • Main point of contact and super user for the Section’s clinical scheduling program – Open Tempo. There are other tasks associated with this role including academic productivity tracking, conference scheduling, and associated tasks.

 

Job Responsibilties
  • Assists the Fellowship Program Director (PD) & Coordinator (PC)in accreditation efforts, educational programming, and support of the fellows.
  • Assists the PC with the oversight and management of the day-to- day operations of the fellowship program.
  • Provides administrative support to faculty involved in educational initiatives including scheduling meetings, administering pre-trip and post-trip travel arrangements, attending meetings and taking meeting minutes.
  • Conducts special projects and prepare administrative reports as requested by leadership.
  • Super user with our clinical provider scheduling software – Open Tempo.
  • Sections main point of contact for switches within the system, enrolling new providers, administering the publishing of the schedule for each clinical area, and keeping up to speed on the software’s changes in order to disseminate that information to other users.
  • Creates 6 monthly week and night schedules for all Attending roles.
  • Research and resolve problems and issues in SAP.
Minimum Qualifications
Education:
  • Required: High school diploma or GED.
Experience:
  • Required: Three years of directly relevant administrative experience.
Certification/Licenses/
Registration:
  • Required: None.
Other
  • Intermediate level knowledge of Microsoft Word, Excel, Outlook, and PowerPoint required.
  • Beginner’s level knowledge of Apple and Mac products and operating systems.
  • Experience with SAP, Concur and MedHub (or e-value).
  • Knowledge with any type of online, or web based scheduling software.
