Job Description

Job Purpose

Assists department chair, division head, administrator, or project director in a variety of administrative duties. May assist in analyzing and recommending changes in the policies and procedures of organizational unit.

Job Responsibilties
  • Oversees entries in SAP for HR transactions, including new hires, terminations, salary, cost distribution and FTE changes, etc. for staff
  • Reports and calculates faculty FTE and cFTE for departmental review
  • Prepares and monitors annual departmental budget by cost centers and departmental sections and forecasts revenue and expense.
  • Generates monthly reports and distributions in SAP.
  • Manages the department's accounting and financial functions to assure accuracy of transactions and assure that departmental transactions conform with College policy.
  • Monitors departmental expenses and ascertains whether or not charges have been made to the appropriate cost center
  • Creates departmental financial reports using SAP, EPIC, or other financial software packages.
  • Approves financial, purchasing and travel expenditures for the department in SAP/SRM.
  • Monitors financial activity of the department, including monthly review documentation and revenue reconciliation, revenue and tax mapping
  • Communicates College policy to staff and faculty; assists in developing internal procedures in accordance with College policy.
  • Oversees timesheet/payroll submission of the department.
  • Responsible for calculation of supplemental pay and clinical compensation submissions for department.
  • Oversees departmental purchasing process, including CapEx, budget revisions, etc.
  • Creates budgetary and tracking spreadsheets for departmental finance.
  • Assists in completion of college projects, management challenges and requested reports.
  • Provides administrative support to department administrator and Chair as necessary.
  • Manages departmental administrative staff.
Minimum Qualifications
  • Bachelor's degree in Business Administration, Finance, Management, Accounting, Public Health, or Health Administration. Four years of relevant work experience in a business administration/business management setting can be substituted in lieu of a degree.
  • Four years of responsible administrative experience with Bachelor's degree or eight years of relevant work experience in a business administration/business management setting without a degree.
