Job Purpose

 

 

The Office of Graduate Medical Education is currently accepting applications for an Education Specialist II, who will facilitate program administration and administratively support operations to satisfy accreditation standards. This position works with a high level of autonomy and must exercise discretion with high volumes of complex, confidential information. A proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and organize and maintain administrative processes is essential to this position.

Job Responsibilities

 

The primary focus of this role is to provide frontline support to all BCM training programs in conjunction with the work of the Director of Administrative Operations and the other members of the GME Team:

• Maintain confidential personnel records and files

• Attend and take minutes for the monthly Graduate Medical Education Committee (GMEC).

• Update and maintain GME website

• Manage the onboarding and credentialing process for new GME trainees

• Serve as a resource for Program Coordinators in training through one-on-one tutorial and education. This includes the creation of educational material as it relates to the responsibilities of the position.

• Serve as back up support as needed.

• Serve as a resource for education-related work hour rule and prepares the monthly work hour report.

• Coordinate and participate in both Resident and Fellow orientations. This includes but is not limited to booking rooms, ordering food, preparing agendas, assigning trainee groups, and sending calendar invitations to speakers and vendors.

• Required to participate in GME Orientation outside regular business hours

• Other duties and responsibilities as assigned by the Director of Administrative Operations.

Minimum Qualifications

 

Education:
  • Required: Bachelor’s degree in Business Administration, Education, Instructional Technology/Design, or related field. Four years of related experience may substitute for degree requirement.
Experience:
  • Required: At least 2 years of professional work experience (health care setting, education, or related field preferred); experience in GME is a plus.
Certification/Licenses/
Registration:
  • None required.
Other

 

• In-depth knowledge of and ability to utilize various software applications, including Microsoft Office (Excel, PowerPoint, Word). Knowledge of Medhub is a plus.

• An extremely high level of organizational skill and attention to detail

• Exemplary written and verbal communication skills

• Takes the initiative and has the ability to work both independently and as a member of a team

• Demonstrates self-discipline with the ability to work on multiple ongoing projects simultaneously and meet deadlines

• The ability to work effectively with all levels of faculty, administration, and staff in situations that often require one to be courteous but firm in seeking information and cooperation

• An intelligent, self-motivated individual with strong interpersonal skills. Should be socially perceptive in handling confidential information and have the ability to work with individuals from a variety of disciplines and diverse backgrounds.
