Job Description

Job Purpose

To coordinate activities and provide supervision in the operation and administration of a large volume of complex decisions. Responsible for making complex administrative decisions requiring knowledge of a wide range of regulations, policies, and procedures.

  • Administrative Assistant Responsibilities
    • Order Clinic Supplies
    o Medical equipment
    o Medical supplies
    o Lab coats
    • Order Office Supplies
    • Order materials through Graphic Communications
    • Credentialing- reappointment and initial applications
    • Coordinate onboarding appointments/classes for recruits
    • Maintain/update communal spreadsheets within BOX
    • Renew licenses/membership
    • Reimbursements/ check requests via Concur
    • Pay invoices for vendors
    • Coordinate meetings (create agenda/ take minutes)
    • Travel coordination
    o Flight coordination
    o Pre-Trip in Concur
    o Reimbursement request submitted through Concur
    o Block calendars
    • Time keeping for Physicians
    o Enter time off in Qgenda
    • Coordinate VIP/High Priority referral for clinic & procedure appointments
    • Update Website
    o News announcements
    o Maintain/create faculty signature
    • Pharmaceutical Rep Management
    • Service Call Schedule (weekly)
    • Maintain public calendar with faculty vacations/ time off/Physician On-Service
    • Produces spreadsheets and presentations in Excel and PowerPoint
    • Ensure Clinic Schedule is aligned in Qgenda/EPIC with Master Schedule
    • Reschedule all clinics canceled within 30 days
    • Open new clinics as MD requests
    • Schedule NOV / EOV work in appointments as requested by MD
    • Assist with sorting faxes with MA
    o Upload / document all records received and send to Provider for review prior to appt
    • Obtain records as needed for new patients / new referrals
    • Update QGenda
Minimum Qualifications
Education:
  • Required: High School dipoma or GED.
Experience:
  • Required: Three years of relevant experience.
