Responsibilities:

Reporting to the Head of Cataloging, the Cataloging Assistant is responsible for creating, updating and deleting records in the library's online catalog, and for quality-control checks ensuring that catalog users can locate library materials. Skills used in this work include: knowledge of the record types and editing features of the Sierra database; familiarity with three search interfaces of OCLC (Connexion Web, Connexion Client, and Z39.50); knowledge of MARC (machine-readable cataloging) fonnat and bibliograhie data elements; as well as mastery of an extensive body of local rules & procedures.

NEWBOOKS

• Searches the OCLC database (an international database of over 300 million bibliographic records) for cataloging information on newly-accessioned books; transfers records between OCLC and SMC Library's Albert online catalog; prepares worksheets for catalogers; assigns cutter numbers. Reviews new bibliographic records for errors and omissions in cataloging data, makes prescribed corrections and additions. Creates Albert item circulation records for each piece; barcodes books; routes materials to other staff for further physical processing.Creates Albert item circulation records for each piece; barcodes books; routes materials to other staff for further physical processing.

MEDIA

• Independently responsible for full cataloging of media (mainly videos and audio CDs). Searches OCLC to locate appropriate catalog records for all media. Selects call numbers for new media. Makes all needed updates and changes to both bibliographic and item records.

GIFTS

• Searches the Albert catalog for gift books to determine whether already owned by the library. Routes gift books to the appropriate selectors for retention decisions. Prepares letters of acknowledgement to donors of gift collections.

WITHDRAWALS

• For materials no longer available or as designated by librarian subject selectors, revises holdings and other information in both OCLC and Albert. Records statistics.

OTHER

• Maintains procedural documentation for own functions in the departmental Wiki. Works on special projects as assigned by the Department Head or Dean for Academic Resources, attends library, campus and external meetings and workshops relevant to the position and the library and college mission.

Experience and Qualifications:

• 1-2 years of directly related experience, including the use of an online library catalog system in staff mode
• Library technical courses in cataloging and database systems may be counted toward experience
• Additional college-level courses preferred
• Experience with Innovative Interfaces and OCLC library computer systems is highly desirable
