Job Purpose

The Michael E. DeBakey Department of Surgery is seeking an Administrative Coordinator to assume responsibilities of daily activities on research grant submissions as well as tracking and reporting of faculty academic achievements in a centralized database.  This position will also support activities related to the research resident track and other activities in the departmental Education office.  

Job Duties
  • Oversees the effort to secure research funding by coordinating the pre-award grant application process for faculty applying for federal, state, and private foundation grant funding.
  • Maintains and verifies departmental personnel files including records of required employee credentials and licensing.
  • Schedules and arranges department and committee meetings including the preparation of meeting notices and agendas.
  • Processes bills for payment.
  • Assists in report preparation and responding to inquiries.
  • Coordinates procurement of equipment and supplies.
  • Interprets rules, regulations, and policies
  • Consults with faculty regarding grant preparation.
  • Prepares, or reviews and approves, budget and administrative sections of grant applications.
  • Ensures required approvals for submission of grant applications.
  • Prepares reports on grant applications and rewards.
  • Follows federal, state, and Baylor College of Medicine policies, procedures, and guidelines that apply to grants and funding.
  • May prepare subcontracts to other institutions.
  • May serve as information resource about grant submission procedures and policies for faculty, students, and staff.
  • Coordinate travel requests and reimbursements for our research residents within College and departmental policies through Concur.
  • Track and maintain scholarly activity for departmental residents and faculty
  • Assist with other tasks as needed for educational programs when allocated time in the surgery education office.
Minimum Qualifications
  • Required: High School diploma or GED.
  • Required: Four years of relevant experience.
