The Dean’s Office within the Statler College of Engineering and Mineral Resources at West Virginia University is seeking applications for a Program Coordinator. This position reports to the Associate Dean for Academic Affairs and is responsible to manage and provide college level oversight for all student academic services and activities related to the matriculation of undergraduate and graduate students.



In order to be successful in this position, the ideal candidate will:

Supervise the daily operation of the Statler College Office of Student Services providing administrative leadership to plan, coordinate, and supervise the office.

Allocates work assignments to staff setting priorities and deadlines. Identify and resolves staffing or programmatic issues in the office. Training staff and student workers on new procedures, use of databases, etc.

Ensures that academic actions/requests made to the Student Services Office follow all established college and university academic policies and procedures.

Create and revise academic forms for the College.

Maintain and update information on the Student Services website and the College website.

Serves as liaison for the College on the Registrars Advisory Council and on appropriate college and university committees (academic standards, UG academic affairs, GPRC, executive, and ESE admissions and curriculum.

Develops databases for the National Research Council assessment of undergraduate and graduate programs.

Provide reports to appropriate college personnel in a timely manner to assist the college in making data driven decision to meet its strategic planning goals.

Collect, analyze and process data from multiple data warehouses including University and non-University sources and prepare data reports, data modeling and other data management functions as requested by the Associate Dean for Academic Affairs.

Prepare reports focusing on student enrollment/recruitment and retention/graduation for various reporting venues including the American Society for Engineering Education, the Engineering Workforce Commission, US News, etc.

Prepare reports for ABET accreditation activities, Board of Governors reviews/reports and the College’s strategic plan on undergraduate and graduate student recruitment, enrollment, retention and graduation.

Provide college level oversight of all college services and activities related to processing graduate student applications and information on the University graduate application portal including training and assisting academic programs with managing their specific electronic applications.

Oversees the organizing, coordination, and planning of the Statler Honors Day, Order of the Engineer and Pledge of the Computing Professional ceremonies, and National Engineers Week Commencement activities.

Certify and process M.S. and Ph.D. electronic requests for graduation.

Certify B.S., M.S. and Ph.D. students for graduation based on established College guidelines/policies.

Design, develop and manage comprehensive student information databases needed to support College undergraduate and graduate operations and evaluation of strategic planning initiatives.

Collect, analyze and process tuition waivers for M.S. and Ph.D. students in the Statler College.

Plan and conduct annual or semester meetings and programs for new graduate students, for graduating students and for graduate program coordinators.

Work with faculty, graduate students, program and department chairs and others involved with assessment activities of the college.

Work with the Office of the Associate Provost for Graduate Education and Life, the Office of the University Registrar, the Office of Admissions, CLASS, Office of Global Affairs, and the Office of Institutional Research.

Generates statistical reports on admission, enrollment, retention, transfers, probation, suspension, academic performance, test scores, graduation, scholarship eligibility, certifies that student athletes enrolled in the College are in compliance with NCAA regulations for University Admission, other Colleges of WVU, the Associate Dean’s office, etc.

Serve as point of contact for DegreeWorks audit updates with OUR

Serve as back-up scheduler for College.

Work closely with the Statler College Advising Center and Fundamentals of Engineering Program to promote student success, retention and persistence.

Perform other academic service activities assigned.



Qualifications

The minimum qualification required is a Master’s Degree in engineering education, educational administration, educational leadership, information systems, engineering, computer science, or related field.
One (1) year directly related experience working with assessing, analyzing and reporting student data on enrollment, retention, graduation and demographic characteristics.
One (1) year experience working with students, staff, faculty, senior College and University administrators and other educational professionals to collect assessment data.
One (1) year experience with Microsoft Office and enterprise software (e.g., Banner, DegreeWorks, STAR, Argos) to effectively collect data and prepare reports.
Ability to develop and execute a variety of strategies and models for assessing and documenting College performance in areas of enrollment yield rates, year over year retention rates for different majors and student ranks, and six-year graduation rates.
Ability to develop, manage and use databases containing highly confidential information.
Ability to prepare technical reports and computer-based presentations to large groups.
Work independently after receiving general instruction.
Group organization, leadership and implementation of initiatives to meet strategic planning objectives.
Expert level knowledge of spreadsheets and relational databases e.g. Excel and Access.
Interpersonal and communication skills to work effectively with a wide variety of people.
