Job Purpose

Provide support to the department by coordinating financial and business processes, processing personnel related transactions, and liaising with central departments.

Job Duties

The Section of Epidemiology and Population Sciences is seeking a senior coordinator, business operations to join our team and provide administrative support for a CPRIT Training Grant, and assist section faculty, post-docs and section administrator. Additionally, the candidate will answer questions and furnishing information on behalf of supervisor. Make travel arrangements and reservations. Process various personnel and financial transactions in SAP. 

Job Duties: 
•    Coordinate the day to day business and financial processes for the department.
•    Process personnel related transactions in SuccessFactors. Coordinate with Human Resources as required in recruiting the CPRIT post-docs. 
•    Assist in managing CPRIT grant activities, submitting requests in the CPRIT ARS portal. 
•    Providing information to Grant s& Contract for the CPRIT quarterly FSR report.
•    Calendar management, schedule meetings, individual and ongoing monthly meeting for the CPRIT project, faculty and post-docs. 
- Manage web-pages submitting changes to web team. 
•    Coordinating Post-doctoral activities with the Post-doctoral Office.
•    Coordinate with the International Services Office regarding visa requests for post-docs.  
•    Manage faculty reappointments and renewals.
•    Monitor financial activity by compiling, reviewing, and reconciling financial accounts. Review expenditures from fund sources to verify accuracy, need, and compliance.
•    Knowledge of SAP functions such as check requests, PO management, time entry, ordering supplies, travel reimbursement.
•    May coordinate department meetings, events, retreats, and other functions.
•    Coordinates office moves with facility services, computer moves with IT.
•    May provide additional support to faculty as needed.

Minimum Qualifications
  • Education Required: High School diploma or GED.
  • Experience Required: Four years of relevant experience.
  • Certification/Licenses/Registration: None Required.
