Job Summary
The Administrative Assistant position will provide high quality administrative support to the Clinical Nursing Director and Nurse Supervisor, within Internal Medicine.

Duties include but are not limited to providing administrative support to the Clinical Nursing Director and other administrative team members (Clinical Nurse Supervisors, Clinical Nurse Specialist, Educational Coordinator) and members of the Unit Based Committees.
Process, reconcile, and submit bi-weekly and monthly payroll via Onestaff system, adhering to regulations and contract language, and review Gross Pay Registers with follow up to make any necessary adjustments to ensure accuracy.
Maintain up to date vacation/sick time/extended time off usage logs for staff, and coordinate annual and ongoing vacation time and staff trade or time off requests.
Process onestaff reports as needed such as daily productivity reports, attendance reports, etc.
Prepare, submit, and reconcile financial processes and statements such as journal entries, travel, hosting, tuition support, gift accounts, etc.
Post, monitor, hire new employees through eRecruit.
Register staff in M-Learning for courses as needed.
Maintain static groups and unit based group documents (seniority list, phone lists, etc.), print monthly finance fiscal reports, and monthly workload committee reports.
Assist administrative team to develop, maintain, and adjust nursing and assistive personnel schedules and process schedule changes.
Prepare and review staffing daily sheets to ensure accuracy.
Coordinate meetings and type required documents as needed.
Order supplies/equipment, etc. for unit as needed.
Exhibit exemplary customer relation skills in interacting with various management levels and unit staff, and have a comfort level to round within the patient care area to interact with staff.
Assist to orient new administrative assistants (AA) in duties as described above.
Required Qualifications*
High school diploma or equivalent.
Advanced computer skills using Microsoft applications, including Word and Excel.
4 or more years of experience performing responsible office duties.
Excellent verbal/written communication skills.
Demonstrated ability to work independently and cooperatively, prioritize and compete tasks in a timely manner.
Demonstrated ability to do exceptional tracking and follow up with excellent attention to details.
Demonstrated ability to multitask in an environment of shifting priorities with a high degree of accuracy.
Desired Qualifications*
Two to three years experience with OneStaff.
Proficiency with MPathways.
Knowledge of eRecruit.
Knowledge of UMHS/UMPNC/MNA contract.
Knowledge of AFSCME Local 1583 contract.
Knowledge of UMHS policies and procedures.
Associate or higher degree in business, human resources or related field.
