The School of Medicine – Department of Medicine, Division of Hospital Medicine has an opening for a full-time University Staff (unclassified) HR and Operations Coordinator (Program Assistant I) position.

Nature of Work:
The Program Assistant I (1.0 FTE) carries out duties related to human resource task administration and other administrative needs of the Division of Hospital Medicine (DHM), Department of Medicine (DOM). Working under the direction of the Division Administrator, the HR and Operations Coordinator conducts administrative office functions primarily in support of human resource tasks, phone triage, and miscellaneous administrative tasks. This position also coordinates and carries out duties related to moves and relocations, space, equipment, inventory and general operations.

Supervision Received:
The Program Assistant I reports directly to the Division Administrator.

Example of Work Performed
Specific duties and responsibilities of the Program Assistant I may include, but are not limited to, the following:

Recruitment/Human Resources Support
Provide administrative and operations support related to the human resources and recruitment needs of the group:
Coordinate interview day agendas and travel arrangements/logistics for faculty recruitment.
Assist with the coordination of the onboarding and credentialing of new faculty and staff
Coordinate with HR Specialist in all logistics related to new employee onboarding: orientation(s) scheduling, computer needs, office space, parking, badging, etc.
Back up support for CU Careers (manage active postings and share candidates applications)
Coordinate shadowing experiences and accompanying paperwork for Advanced Practice Fellowship (APF)
Assist with schedule updates in Ami9on as needed for APF and HTT
General Administrative Support:
Coordinate and execute bi-annual LaunchPad Faculty Development Program
Coordinate and monitor DHM faculty performance evaluations in PRiSM, ensuring all evaluations are complete prior to review meeting with Division Head.
Phone call triage and reception for patients and families of our Division
Serve as primary customer service support and contact for DHM
Greet visitors, field calls from patients, pharmacies and others during work hours, ensuring timely follow-up.
Copying, scanning, faxing, mail pick-up & delivery, supplies/inventory management, letters of reference and other miscellaneous duties.
Maintain effective relationships with UCH Administration, DOM and SOM leadership, Internal Medicine Residency Program (IMRP), The Office of Graduate Medical Education (GME), CU Medicine, DHM faculty and staff and other key stakeholders.
Responsible for daily independent decision-making and problem resolution to reflect best interest of the DHM.
Assist with special projects and miscellaneous job-related duties as requested by the DHM Division Head or Division Administrator.
