The Department of Statistics & Data Science at Carnegie Mellon University is looking to hire a Graduate Program Coordinator. Reporting to the MSP and PhD Directors, the Graduate Program Coordinator will be responsible for a variety of academic and administrative tasks related to our graduate programs. The primary focus of this position is coordinating the PhD program, and providing assistance with the MSP program.

Graduate Program Administration:
Develops policies and best practices to ensure the quality and sustainability of the department’s graduate programs, working closely with faculty, including the Head, PhD Directors, MSP Director, and MSP Academic & Career Advisor.
Plans and implements assessments on key performance measures (e.g. number of applicants, admissions and enrollments).
Gathers data and prepares ad hoc reports for department head, program directors, college and central offices.
Reviews individual programs to ensure practices are consistent across programs.
Engages alumni with current department through regular communication and special outreach events.
Application Process:
Gathers and analyzes application data for ad hoc reports.
Organizes admission information and assists incoming grad students, e.g. registers students for courses.
Answers any questions from PhD program applicants.
Responds to requests for information from prospective students, other CMU departments, and outside institutions/agencies.
Academic Administration:
Answers student questions regarding registration, curriculum and related issues and/or directs students to appropriate contacts or resources.
Maintains program records, reports, student records and associated databases. Prepares reporting and provides information to faculty, advisor or other departments (i.e. student status, course placement, major declarations, transfer credit review, enrollment etc.).
Assists faculty by entering updates to course syllabi registry, scheduling final exams and FCES.
Coordinates course schedules, room assignments and documenting the academic calendar.
Manages the course waitlists for faculty and reserve spaces in courses for other colleges within the university. Collect and update course descriptions, course catalog, and suggest updates to the website.
Communicates academic system deadlines or requirements.
Attends Departmental Academic Program Committee meetings, representing the PhD program.
Coordinates faculty advising assignments.
Tracks student progress toward completing degree; tracks enrollment in course offerings and recommends adjustments.
Takes responsibility for regulations involving international students.
Other tasks as assigned.
Associate’s degree or equivalent education and/or experience.
A minimum of three (3) years of experience with graduate or academic program coordination.
Knowledge of University policies and procedures preferred
Knowledge of Student Services system; S3 is preferred
