Job Summary
The Administrative Coordinator will oversee daily operations and activities for the School of the Arts, providing operation and administrative direction. This includes: developing (in collaboration with Dean and Associate Dean) program concepts and objectives, formulating program guidelines, criteria, and policies/procedures, developing and administering program budgets, evaluating and making recommendations regarding program effectiveness, providing administrative assistance to the Dean and Associate Dean, serving as the point person for campus and system questions concerning faculty personnel actions, and course, degree, and program proposals, assisting in information gathering for various projects, and providing assistance in communicating with departments and campus support units. In each of these matters, the Administrative Coordinator will exercise judgment and independent initiative, and handle time sensitive matters that require concise problem solving and confidentiality.

Other responsibilities will include:

Collaborating with the Director of Arts Programming and staff to facilitate events and activities.
Assisting with strategic planning, collaborating with faculty and staff on the development and implementation of collaborative programs, grant development, and curricular changes.
Providing administrative assistance to the Business Manager with monitoring internal control processes and account management/reconciliation for faculty and adjunct budget lines. Assisting in information gathering as well as general assistance where requested.
Managing all faculty records. This includes processing all faculty stipends and contracts with Academic Affairs. Coordinating documentation for new hires in the college, help schedule meetings and appointments.
Overseeing class schedules; Managing the specific needs (class sizes, times, technology, special requests) related to scheduling rooms for all Fall, Spring and summer class schedules within SOA. Working with the registrar and resolving class related scheduling issues.
Providing support and administration of key projects, reports, and recordkeeping, helping to ensure the professionalism and integrity of the School of the Arts.
Coordinating projects, events and communication of information from the Dean's office, such as conferences, workshops, faculty and staff retreats, staff meetings, awards banquet, and other special events as they arise.
Additional duties assigned by the Dean of SOA.
Required Qualifications
Bachelor’s degree and three years of demonstrated administrative support experience or equivalent.

Knowledge of University and College policies and procedures (or equivalent). Proficient in the use of computers and related technology. Ability to use standard software including Microsoft Office, enterprise systems, and the internet. Ability to effectively communicate and exchange information. Strong interpersonal skills and a customer service orientation, including ability to interact with students and faculty. The Administrative Leadership skills necessary to coordinate college related activities with the faculty and staff.

Preferred Qualifications
Master's degree. Ability to think independently and solve problems.
