Job Description

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Dean, this position oversees the Dean’s Office operations and administrative support, as well as the marketing and communications’ office operations and administrative support within the College of Pharmacy.


DUTIES AND RESPONSIBILITIES:

Plans and directs the daily strategic and operational activities for the Dean’s Office.
Advises the Dean and serves as point of contact for the Dean between Executive Committee, the Alumni Board, key donors, and campus community.
Provides complete oversight (i.e., development, management, and control) of the budget designated for College of Pharmacy Marketing.
Hires, trains, supervises, evaluates, and terminates the administrative staff of the Dean’s Office.
Manages the College’s Master Calendar, as well as the College’s EMS Scheduling System at all three locations (Memphis, Nashville, Knoxville).
Plans and manages College of Pharmacy special events including Annual Residency Banquet, Annual Faculty/Staff Retreat, and Special Events hosted by the Dean on and off campus.
Collaborates with Associate Deans and Department Chairs to ensure their departments are operating effectively and assists them in addressing those needs.
Oversees the College’s master filing system to ensure compliance with university policies and procedures.
Handles advertising and promotions service contracts and addresses any issues that may arise.
Approves all electronic and non-electronic published content, such as social media, email marketing, website, marketing materials, publications, etc.
Ensures platforms are up-to-date and aligned with the College's branding goals.
Assists all visitors, reporters, and other officials on behalf of the Dean; obtains and disseminates information for the Dean.
Performs other related duties/assignments as requested by the Dean.


MINIMUM REQUIREMENTS:



EDUCATION: Bachelor’s Degree in Management, Education, Business Administration, Communications, or related field of study. (Master’s Degree preferred). (TRANSCRIPT REQUIRED)



EXPERIENCE: Four (4) years of senior management-level administrative support experience; OR an equivalent combination of education, training, and experience. (Some accounting experience is preferred).



KNOWLEDGE, SKILLS, AND ABILITIES:

Strong public relations and interpersonal skills with the ability to communicate effectively (both written and oral) with executives, upper administration, faculty members, vendors, and employees.
Ability to maintain confidentiality.
Proficient in oral and written communication.
Ability to communicate effectively in person and on the phone with people of different backgrounds and nationalities.
Ability to exercise discretion and independent judgment with respect to matters of significance.
