Job Description

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Director of Faculty Affairs, this position provides day-to-day administrative support and processes various faculty documents pertaining to recruitment, appointment, annual reviews, terminations, and enhanced reviews such as promotion, tenure, post-tenure review, enhanced post-tenure performance review within the Office of Academic, Faculty, & Student Affairs.


Develops, implements, and maintains all day-to-day departmental operations that includes accurately reviewing and processing faculty appointment documents.
Liaisons between Payroll, Human Resources, and colleges to verify various faculty data required.
Scans faculty documents and stores them in electronic and/or print-based repository systems.
Guides college and department administrative staff on faculty processes such as recruitment, appointment, annual and enhanced reviews, and terminations.
Ensures academic credentials are official per accreditation standards.
Retrieves and uploads faculty personnel data. Prepares necessary reports.
Coordinates and schedules meetings, draft meeting minutes, schedules meeting room, sets up technology, and other related tasks as needed.
Assists with special faculty-related projects and attends/participates in ASFA related events, or training sessions.
Serves as a front office receptionist including screening and distributing mail, greeting guests, answering phones, and responding to routine correspondence and campus inquiries.
Performs other related duties assigned.



EXPERIENCE: Four (4) years of administrative experience; OR Associate’s Degree and two (2) years of administrative experience; OR an equivalent combination of education, training, and experience.


Excellent organization, communication, and interpersonal skills.
Skilled at data collection and analysis in making decisions.
Ability to listen and interpret inquiries from faculty, staff, or students to determine appropriate solutions.
Working knowledge of MS Office (especially Outlook, Word, Excel), Adobe Acrobat Pro, navigating shared drives and One-drive, and using various information systems.
Ability to work independently and as part of a team.
Skilled in scheduling/meeting coordination.
Skilled in multi-tasking with the ability to adapt to new systems and technologies.
Knowledge and skills with a wide range of administrative support functions.
Expert-level skills in MS Office programs.
Strong organizational and communication skills.
Advanced data entry skills and proficient scheduling skills.
Experience with the UTHSC faculty appointment processes.
