ROLE of the POSITION

The department of Psychology Administrative Assistant III exists to serve as primary reception for the students, faculty, and the community who may visit the office. The incumbent will provide regular, consistent reception to in-person guests, telephone calls and email inquiries. The incumbent is expected to arrive on time Monday – Friday from 8am – 5pm. The AA III will also be responsible for department inventory, responsible for soft money and travel budget accounts, as well as prepare travel documents, spend authorizations, expense reports, and create purchase orders for said accounts for, the 25 faculty members, and 75 PhD students within the department. The incumbent must have knowledge of the UNLV practices and policies as well an understanding of the department of Psychology, faculty and PhD program. Have a working knowledge of Qualtrics to generate course surveys each semester and calculate the mean/median for each course, and the department as a whole. Take on special projects as needed. This position will also provide supervision of the student assistant as well as providing clerical support for all of the faculty, part time instructors, AA IV, and PsiChi the student organization. They will also be responsible for placing supply orders in a timely fashion, and complying special reports as requested by the Department Chair. Regular work hours are Monday – Friday 8am - 5pm

QUALIFICATIONS

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

PREFERRED QUALIFICATIONS

Outstanding customer service skills, inventory skills and budgeting ability. A working understanding of MYUNLV, Data Warehouse, Asset management, Archibus, Workday, Qualtrics and intermediate skills in Microsoft Word and Excel are preferred but not required.

SALARY

Grade 27 Step 1, salary $36,790.56. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.

Pursuant to Assembly Bill (AB) 3 passed by the Nevada State Legislature during the 31st Special Legislative Session, employees are required to take furlough at a 4.6 percent monthly reduction in compensation from January 1, 2021 through June 30, 2021.
