STARTING HOURLY RATE: $16.89 + hourly, depending upon education and experience, GG

POSITION PURPOSE: Provides direct support and office management to the Dean of Students Office and the Career and Professional Development staff as well as acts as a referral source for the entire Student Development division. The Assistant to the Dean/Office Coordinator manages the South Dakota Mines Immunization compliance per BOR policy. This position coordinates event planning (Parent Orientation and Family Weekend), attends meetings and trainings, updates the Parent/Families webpage as needed, handles walk in, phone and e-mail correspondence with students, parents, staff, and the public. This position manages the AVP for Student Development/DOS calendar and schedules a variety of meetings. The DOS office is responsible for notifying students of dean’s list status and participating in commencement planning and event day activities.

Responsibilities will include composing, typing and proofreading letters, publications, and mass mailings; copying, filing and processing mail; travel arrangements and reimbursements; organizing and scheduling meetings and appointments; purchase requisitions; department recordkeeping, including maintenance of files, records, policies and procedures; preparation of reports and database management; collaborate with other departments to coordinate event calendar; website development, updates, and maintenance; coordinating programs and special events; maintenance of financial accounting records and budgets; supervision of student employees; correspondence with parents in accordance with FERPA; answering and directing incoming phone calls; greeting and assisting walk-in inquiries from faculty, staff, students, and visitors; and other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:
• work processes and practices pertaining to public administration, management, and professional subject areas;
• basic statistical measures, research methods, database development and maintenance;
• basic bookkeeping and generally accepted accounting principles;
• high level of proficiency with computer systems and common applications (Microsoft Outlook, Word, Excel, PowerPoint, TEAMS, Share Point, Publisher).

Ability to:
• provide outstanding customer service to students, parents, visitors, faculty, and staff;
• communicate information clearly and concisely in person and/or on the telephone, exercising tact, patience, discretion, and professional demeanor;
• establish and maintain effective, cooperative, and supportive working relationships;
• read, comprehend, gather, prepare and summarize data from a variety of sources;
• plan and coordinate effectively, type accurately, be detail orientated, perform multiple tasks, prioritize accordingly, and meet strict deadlines;
• assess process effectiveness and develop changes or alternatives;
• train and provide guidance to staff and service users;
• use a computer, software, copy/scan/fax machine and other office equipment;

COMMENTS: This is a 12-month position.
