The part-time (24 hours a week) Human Resources Coordinator position provides confidential, administrative, customer service focused support to employees joining the College. The incumbent will support Academic Affairs and Recruitment in seamlessly and efficiently orienting new faculty and staff hires to the College. The HR Coordinator will also assist employees in the smooth transition from the College and manage all related off-boarding processes.

Front Office / Administrative:

• Provide the main point of contact responsible for managing the Human Resources email inbox and voicemail.

• Possess knowledge of all areas of HR to appropriately refer internal and external customers to the appropriate resource.

• Demonstrate strong customer service skills to professionally address a variety of important, confidential and pressing matters.

• Assist with completing verbal and written verifications of employment.

• Process change of address requests.

As HR liaison to all new hires, be immediately available to guide new hires through the appropriate processes and channels (mandatory training, benefits enrollment, IT services, payroll setup), while maintaining the highest level of customer service and support.

• At the point of initial job offer, reach out to new employees (faculty, staff, volunteers, temporary) and assist with new hire documentation completion.

• Maintain weekly drop-in or by appointment office hours for completion of new hire docs.

• Create and maintain all new hire Personnel Files electronically and physically.

• Maintain and audit Form I-9 completion, filing and storage; adhering to California and Federal compliance laws.

• Educate and consult cross campus stakeholders on new hire processes and regularly update on the status of onboarding of their new employees.

• Through constant communication with Advancement Staff and HR Recruitment, anticipate hiring surges and adjust time accordingly to meet the demands

• Train and oversee all student HR Assistants on the above processes.


• Alert all human resource and business office stakeholders of resignations.

• Work with cross campus stakeholders on appropriate steps to offboard an employee.

• Consult on next steps after an employee leaves; explain processes to backfill a position and hand-off to the Recruitment Specialist.

• Produce end-of-employment letters and other internal notifications.

• Meet with departing employees for a formal Exit Interview; compile and report out data.

• Close out Personnel Files and store for the appropriate amount of time per California law..

• Support of the unemployment claims process. Responding to EDD claims as needed.

Experience and Qualifications
Education: REQUIRED: AA / AS or equivalent PREFERRED: BA / BS

Experience: REQUIRED: 3 years of related experience in a business environment DESIRED: 3 years of experience in an HR setting

Skills / Abilities: Excellent attention to detail; can manage competing priorities, and frequent interruptions.

Licenses & Certifications: REQUIRED: NA PREFERRED: PHR or SPHR
