Responsibilities
Functions/Responsibilities:

BEFORE WEDDING:

• Make contact with couple several weeks before wedding to discuss specific needs. During this call the chapel use guidelines are reviewed, information obtained regarding photographers, videographers, florists, minister and musicians. Names and relationships of participants in wedding party are obtained for procession.
• Day or evening of rehearsal, greet wedding party and minister. Discuss specific requirements of minister regarding procession and sacristy needs. Frequently the minister requests coordinator to do all organization in regards to procession and placement of wedding party around altar.
• Detailed notes are taken and later transcribed on index card for wedding day.
• Remind couple of fees and stipend for musicians and ministers as appropriate.
• Prepare chapel for wedding, arranging furnishings as required, change altar cloths and candles, set out programs, readings and other items as required.

DAY OF WEDDING/EVENT:
• Furnishings usually need to be moved and several practices may be required for rehearsals.
• On day of wedding, arrive one and one half hours before scheduled time to open and prepare bride's room.
• Supervise student assistant operating sound and lighting systems.
• Greet photographers, videographers, musicians and florists. Review chapel use guidelines and monitor observance of rules.
• Coordinate with musicians for music changes during ceremony.
• Greet minister and assist in sacristy as needed, frequently acting as sacristan in preparation for communion.
• Supervise procession, keeping on schedule.
• During wedding, monitor ceremony and check bride's room for arrival of next wedding party. Have marriage license ready for signature.

AFTER WEDDING/EVENT:
• After ceremony, escort bridal party to waiting area for photographs in chapel.
• Responsible for witnesses and officiating minister to sign marriage license and SMC Marriage Registry. Mail license on day of

wedding.

• Monitor post wedding photography making sure sacred environment is not disturbed. Keep to schedule.
• Return chapel and bride's room to original condition, including cleaning of pews, floors, carpet, altar cloths and candles.
• Provide written feedback to the Wedding Coordinator of any policy violations, including violations by vendors, by the Monday after the wedding.

Experience and Qualifications
Requirements:

• Experience working with highly sensitive situations and managing the needs of people who can be highly demanding and emotional (including couples, their family members, bridal parties, and vendors) with the goal to maintain a supportive environment, a memorable and sacred ceremony, as well adhere to the policies of the College and the use of the Chapel.
• Ability to coordinate and priortize tasks when there are multiple weddings
• Experience working with religious clergy from various denominations
• Experience assisting Roman Catholic Priets in their role and responsibilities in a Roman Cte atholic Wedding
• Wedding coordination from beginning to end
• Knowledge of sacred space, a sacristy and the environment of a Roman Catholic Church
• Knowlegde of the Sacrament and Rite of Matrimony and its liturgical form according to Roman Catholic Tradition & Teachings
• Experience managing people professionally so as to adhere to the policies of Saint Mary's College and the use of the St. Mary's Chapel

Skills/Abilities:
• Organizing, locating and placing wedding parties and participants of a wedding ceremony.
• Navigating and negotiating the demands of family members, participants and decision makers, with careful and kind attention to the needs of the bride & groom.
