Job Description

Summary

Provide support to the Graduate School of Biomedical Sciences by processing purchases orders, check requests, cash receipts, managing travel and reimbursements, and assisting with special projects. Ability to independently manage multiple tasks and projects with competing priorities and deadlines, and organize and maintain administrative processes is essential to this position.

Job Duties

  • Coordinates the dissertation binding and distribution process for the graduate school.
  • Composes routine letters and correspondence, creates PowerPoint presentations, spreadsheets, and prepares other documents.
  • Coordinates the BRASS Scholarship Applications and tracking process.
  • Process check requests, journal entries, and cash deposits in SAP. Orders office supplies and process purchases orders in SRM.
  • Process pre-travel authorizations and manages travel arrangements and reimbursements in Concur.
  • Maintains equipment inventory list.
  • Provides technical assistance to GSBS staff and faculty for individual and shared office equipment inspections, setup, and troubleshooting. Submit request to remove obsolete and broken equipment, contacts IT, and process facilities work requests.
  • Serves as a liaison with supply chain, accounts payable/receivable to ensure timely and efficient processing of orders and payments.
  • Monitors the graduate schools finance email alias and respond as appropriate.
  • Assists with organizing and filing student records.
  • Assists staff and faculty with data entry, report preparation, and creating and maintaining spreadsheets.
  • Provides guidance to staff and students on using Concur and other systems.
  • Communicates effectively both orally and in writing.
  • Excellent customer service skills, strong interpersonal skills and the ability to build strong working relationships with a diverse audience of faculty and staff.
  • Excellent time management skills and the ability to meet deadlines.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Associates Degree.
  • Proficient in Microsoft Excel.
