Job Description


The Section of Infectious Diseases in the Department of Medicine seeks an enthusiastic and competent Business Operations Coordinator who is extremely organized and proficient in managing multiple schedules and assignments simultaneously. This position coordinates multiple schedules and calendars to ensure alignment of all parties: doctors, fellows, patients, and other systems and clinical administrative tasks such as credentialing, ordering, scheduling, and arranging travel.

Job Duties

  • Orders clinic supplies.
    • Medical equipment
    • Medical supplies
    • Lab coats
  • Order Office Supplies.
  • Order materials through Graphic Communications.
  • Coordinates credentialing- reappointment and initial applications.
  • Coordinates onboarding appointments/classes for recruits.
  • Maintains/updates communal spreadsheets within BOX.
  • Renews licenses/membership.
  • Processes reimbursements/ check requests via Concur.
  • Pays invoices for vendors.
  • Coordinates meetings (create agenda/ take minutes).
  • Coordinates travel.
    • Flight coordination (Pre-Trip in Concur)
    • Reimbursement request submitted through Concur (Block calendars)
  • Assists with timekeeping for Physicians.
    • Enters time off in Qgenda
  • Coordinates VIP/High Priority referral for clinic & procedure appointments.
  • Updates Website
    • News announcements
    • Maintains/creates faculty signature
  • Manages Pharmaceutical Reps.
  • Maintains Service Call Schedule (weekly).
  • Maintains public calendar with faculty vacations/ time off/Physician On-Service.
  • Produces spreadsheets and presentations in Excel and PowerPoint.
  • Ensures Clinic Schedule is aligned in Qgenda/EPIC with Master Schedule.
  • Reschedules all clinics canceled within 30 days.
  • Opens new clinics as MD requests.
  • Schedules NOV / EOV work in appointments as requested by MD (overbooks or scheduling on non-clinic days)
  • Assists with sorting faxes with MA.
    • Uploads/ documents all records received, and sends to Provider for review prior to appt
  • Updates clinical systems i.e. QGenda.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience. 

Preferred Qualifications

  • Experience with EPIC, SAP.
