Provide office organization and support for the administration and academic function of the Associate Dean of Academic Affairs 

The College of Health invites applications for a Secretary to the Associate Dean of Academic Affairs. The position will perform administrative support for the Associate Dean of Academic Affairs; manage and maintain Associate Dean's calendar; arrange conferences.  Additional duties include preparing reports, filing, and facilitation; develop and maintain ongoing relationships with faculty and staff in the College and across the university. This position works closely with the Office Manager and other team members in the Dean's Office.

Job Function:

Provide office organization and support for the administration and academic function of the Associate Dean of Academic Affairs 

Minimum Education:

Eighteen months of education or training beyond high school or equivalent.

Preferred Education:

Associate's degree in secretarial technology or related field.

Minimum Experience:

One through three years of related experience; excellent communication skills; working knowledge of word processing software.

Preferred Experience:

Working knowledge of database and spreadsheet software.

Duties and Responsibilities:

  • Perform administrative support for the Associate Dean of Academic Affairs; manage and maintain the calendar; arrange conference(s); preparing reports, filing, and facilitation; develop and maintain on-going relationships with faculty and staff in the College and across the university.
  • Act as a liaison to department/school chairs, directors, and College faculty.
  • Prepare forms related to travel within the College and make travel arrangements for the Dean, Associate Dean(s), and professionals within the Dean’s office.
  • Assist the Associate Dean with various aspects of curriculum approvals, conducting college-wide elections and facilitating meetings. Assist with special academic projects and other business-related items. 
  • Assist with training and advising College's administrative assistants concerning college business, policies, and procedures.
  • Collect requests and assist in compiling the College Technology Plan, lab/program fees, and College Instructional Equipment budgets. 
  • Assign and review work and/or orient and train student employees in the College. 
  • Maintain and process academic records, organize recognition events, order and purchase equipment and submit space requisitions.
  • Collect and coordinate all unit annual reports within the College.
  • Assist with the planning and following through the activities related to commencement for the College.
  • Process and procure SciQuest orders,  utilize Banner and other university systems to perform tasks.
  • Assist the Dean with requests in the absence of the Secretary to the Dean.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
