Job Description


The Lead Coordinator, Research Operations will aid the completion of clinical-research-related publications and presentations for the Division of Cardiothoracic Surgery by tracking these projects through a timeline of development, including the use of external on-line platforms to submit completed projects. In addition, they will perform research-related tasks aimed to measure Division productivity as well as document noteworthy items on the curriculum vitae of supported faculty. As necessary, this specialist will archive projects and scientific publications, keeping abreast of publication dates through the PubMed platform, and may use reference-managing software to manage topic-based literature. Familiarity with select academic journals will be developed as will the use of Interlibrary Loan on-line requests to obtain published articles to support academic efforts. This position is ideally suited for a meticulous individual with prior work experience who may be returning to the work force after an extended absence.

Job Duties

  • Collaborate with research team to create timelines for clinical research projects from inception to publication/presentation.
  • Communicate project needs/recommendations to internal stakeholders (ie, route for statistical support, aid preparation of scientific graphs for publication, aid preparation of medical illustration, route for editorial support).
  • In collaboration with external stakeholders (ie, organizing committees for academic meetings, academic publishers, other), interprets project needs and communicates deliverables (ie, manuscripts, videos, presentations).
  • Create or complete relevant documents necessary for publication/presentation.
  • Enter clinical research projects metrics into internal databases to aid project tracking.
  • Route formal scientific abstracts through the online-submission process.
  • Submit manuscripts to scientific journals using online platforms.
  • Enter productivity metrics into internal database (aRVU) for supported faculty.
  • Assist with the preparation of descriptions for clinical research projects for updates to the academic curriculum vitae of supported faculty.
  • Assists with archiving key material (ie, illustrations, figure legends, video, content-based text) for several clinical themes (ie, aortic dissection, endovascular aortic repair, other) in order to readily access content as source material for new projects.
  • Draft summary text to be used in support of academic presentations regarding clinical research projects using updated literature reviews of ongoing, established themes (ie, thoracoabdominal aortic aneurysm surgery, valve-sparing aortic root replacement, other).
  • Draft content to support clinical research, including the development of research manuscripts (ie, original research, case reports, book chapters).
  • Assist with PowerPoint presentations, including the creation of new content.
  • Create EndNote libraries by downloading citations from PubMed.
  • Perform focused literature searches using PubMed and other search engines.
  • Perform simple descriptive statistics or enter outputted data related to clinical research projects into formal tables for publication/presentation.
  • Review content of external deliverables for completeness and consistency.


Minimum Qualifications

  • High School diploma or GED.
  • Six years of relevant experience.

Preferred Qualifications

  • Bachelor's or Master's degree preferred but offset with related experience.
  • Familiarity with medical terminology.
  • Experience with Office 365 software.
  • Experience with academic journals, PubMed, EndNote, Zoom, and file-sharing platforms.
