Manage all operations of the CAP: Indy Center, based in Indianapolis, which supports the Indy Academic Programs and outreach and engagement activities.  Organize and prepare building space for daily use and special events.  Maintain a safe, educational and ecologically friendly environment while managing equipment, design studios, and electronic classrooms.  Coordinate technology support for teaching, research, and community service.  This position will involve working with diverse audiences of students, faculty, university staff and administrators as well as a variety of municipal, community, and professional partners.

Job Function:

Minimum Education:

Associate’s degree or equivalent.

Preferred Education:

Bachelor’s degree or equivalent in industrial technology, management, or related field.

Minimum Experience:

Three years of office administrative, and/or operations management and/or related experience.

Preferred Experience:

More than three years of experience with communication media; supervisory experience; experience with construction of building systems; familiarity with academic procedures and calendars; strong communication skills; demonstrated experience and ability in working independently as well as collaboratively; experience with Microsoft Office.

Duties and Responsibilities:

  • Manage the Ball State CAP – Indianapolis Center in the Glass Building (25. N. Pine St., Indianapolis) which includes planning and/or facilitate all activities and events in the center and serve as liaison with internal and external groups who use the facility.  Monitor the condition of the building daily to ensure safety and security compliance per established guidelines and make recommendations for additions or changes to established policies. Submit and monitor work-orders with the landlord for repairs, maintenance and upgrades. Liaison with university Safety Specialist to ensure the building adheres to safety codes. 
  • Manage daily use of facility and maintain calendar of events.  Serve as the main point of contact and coordinate communication among college administration, faculty, students, university and external constituents.
  • Coordinate use of the facility for activities with other university colleges and external constituents.  Organize and prepare classrooms, studios and other areas for academic use and reorganize areas for special events such as conferences, meetings, etc.  Clean out studio spaces and monitor repairs to furnishings as needed.  Organize catering service and supplies as needed. Coordinate with property owners all facility needs and repairs required to maintain operations of center. Supervise events and activities outside of regular university business hours.
  • Manage basic computer and equipment maintenance including troubleshooting and coordinating repairs. Provide technology and basic function support to all constituents using the facility including studio/space issues, plotting, information technology (IT) support and other building requests and issues.
  • Manage assigned budget for the center including expenditures and revenue.  Manage all supplies for the center including placing orders, submitting payments, monitoring inventory and determining projection needs. Monitor and coordinate all printing/plotting equipment support to ensured equipment is functioning correctly and resolve any problems. Coordinate routine maintenance of technical equipment and submit monthly maintenance updates. Provide support as needed for Ball State CAP: Indy shop facility.
  • Supervise, orient and train, assign and review work of student employees and Graduate Assistants and make recommendations in all areas related to supervision, including but not limited to interviewing and selection, discipline, and performance evaluations.
  • Coordinate interaction with other academic departments, Facilities Planning & Management, Teleplex, University Libraries, CERES, etc.  Liaison with university custodial services in regards to building maintenance and specific cleaning needs and for every semester studio space cleanout and setup.
  • Manage the assignment of rooms and spaces for class use each term while coordinating with college departmental administrative coordinators, the college scheduling specialist, and other academic departments of the university.
  • Manage access to the CAP: Indy facility which includes maintaining access key card assignments and overall security.  Liaison with Indianapolis utility companies, security company, cleaning company, etc. and manage any issues that arise.
  • Maintain regular and predictable attendance.
  • Perform other related duties as assigned.
