Summary

The Coordinator, Program Management will provide administrative support for an education program, including undergraduate, graduate, residency, fellowship, clerkship, continuing medical education, or other College-affiliated education programs. 

Job Purpose

Coordinates and assists with Pediatric Psychology Training and Education programs, including Neuropsychology Fellowship, Clinical Child Psychology Fellowship, and Psychology Internship. Coordinates the trainee interview season, recruitment schedule, and onboarding processes. Coordinates the Continuing Education program, as well as the Externship/Practicum program. Any and all support for both the trainees and Training Directors.

 

Job Duties

  • Assist training directors with all necessary activities in order to remain in good accreditation status.
  • Maintain weekly/monthly data collection used for ICA's and FCA's as well as Redcap/Microsoft Forms data used to track educational and training activities.
  • Support 3 training directors as needed including maintaining calendars, scheduling meetings, ordering supplies, preparing documents to distribute to training faculty, etc.
  • Assist with recruitment of matched trainees including creation and delivery of match letters (electronically), data organization of app.
  • Assist with onboarding incoming trainees, including Epic access, phone and computer setup, all IS access requests as needed for remote access and folder/drive access, desk arrangements and supply setup, tour of facilities, badging, etc.
  • Assist with coordination of interview season with the Training Director and Psychology faculty, including organization of applications in 2 separate application systems, and actual scheduling of potential matches with training faculty within Psychology.
  • Serve as liaison for Psychology education programs. Unlike other training and education programs within the college, Psychology training and education does not function through a centralized office, such as the GME, BSBS, or SHP. We operate entirely internally and create our own program procedures and processes. The liaison must be able to learn new systems and workflows that are unique to Psychology Training and Education. 
  • Assist with data tracking for didactics, ICA'S, FCA'S, and confidential feedback data between provider and trainee.
  • Assist with scheduling and coordinating all meetings for 3 Training Directors, as well as any meeting needs for trainees.
  • Lead administrative efforts for Psychology Practicum program, including partnership with the Practicum training director. 
  • Lead administrative efforts for Psychology’s CE program, including partnership with CE Program Leader.

 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Prior experience with Microsoft Office, including Teams, Forms, Excel, is preferred.
  • Ability to balance multiple programs at once during the busiest times in the season, which usually overlap.
