Job Description

Provide reception assistance to clients both over the phone and in person as well as provide support to the Counseling Center by assisting the Reception Staff (Clinical Services Specialist and Caseload Specialist), and Office Manager with day-to-day functions.

The Ball State Counseling Center is looking for a part-time assistant to assist with coverage in its reception office for approximately 1 month until a vacancy is permanently filled. The person in this role will assist in answering phone calls, scheduling appointments, sending out reminder emails.

Job Function:

Provide reception assistance to clients both over the phone and in person as well as provide support to the Counseling Center by assisting the Reception Staff (Clinical Services Specialist and Caseload Specialist), and Office Manager with day-to-day functions.

Minimum Education:

High school education or equivalent (GED) with special training in office administration, secretarial, or related field.

Preferred Education:

Specialized training beyond high school in office administration, secretarial, or related field or equivalent.

Minimum Experience:

One to three years of experience in an office environment; basic computer skills and customer service experience.

Preferred Experience:

Additional years of office experience.

Duties and Responsibilities:

  • Provide reception assistance by answering and directing phone calls into the reception area.
  • Assist Counseling Center clients via the check-in and/or check-out process; maintain confidentiality and required security standards throughout the process.
  • Assist with scheduling of client appointments and other meetings for Counseling Center therapists using a computerized calendar system.
  • Compose correspondence and make telephone calls to contact clients regarding appointments.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
