Donor Stewardship Manager

Position Highlights:

The role of Donor Stewardship Manager is to expand, elevate, and guide the Donor Relations' functions at Moffitt Cancer Center Foundation in the areas of donor acknowledgment, reporting, and recognition. They are a visible leader for all efforts related to thanking, stewarding, and recognizing our donors through personal communications, individualized acknowledgments, naming opportunities, donor wall signage, giving societies, and timely stewardship reporting. The Donor Stewardship Manager is responsible for implementing best practices to steward and recognize supporters - primarily at the Major and Principal Gifts levels ($100K+). Overall goals include ensuring the proper acknowledgment and recognition of donors at all levels; demonstrating the impact of philanthropic support through reporting; and identifying, developing and tracking appropriate naming opportunities for donors throughout the institution.

 

Responsibilities:

 

 

Acknowledgment process and policies

  • Develop and manage detailed donor acknowledgment processes and policies for all levels of donors, seeking to automate those processes when appropriate and possible. Partner with Development Services to develop a weekly system for acknowledging donations as they come in. Establish and manage acknowledgment tracking systems that are implemented by the Recognition Specialist to monitor intake, triage and special needs. Working from the Donor Matrix, manage the development of acknowledgments needed for Major and Principal Gifts, partnering with the Manager of Donor Engagement and gift officers to address special, individualized needs.

 

Stewardship reporting

  • Manage a structured, systematic, and streamlined program for stewardship and endowment reporting to keep donors engaged and informed on use of funds. Program will include a tracking process that alerts Donor Stewardship of deadlines, as well as gift officers and Development Communications writers. Collaborate with Communications and gift officers on content and design of those reports. Oversee the creation of the Moffitt Foundation Annual Impact Report, working with Foundation Communications writers and/or freelance writers. Develop and manage the creation of endowment report narratives that accompany annual or periodic financial updates.

 

Physical and relationship-based donor recognition

  • Primary responsibility for working with internal design and construction managers and outside vendors to identify, define and track physical naming opportunities located on Moffitt campuses. This will primarily include naming of campuses, buildings, bridges, programs, waiting areas, patient floors, gardens, etc. Manage relationship with philanthropic sign vendor to keep updated array of giving options in format that is user friendly to gift officers and other Foundation staff. Oversee Recognition Specialist who will have day-to-day responsibility for providing updated information to vendor and to gift officers. Actively brainstorm and plan for future naming and recognition opportunities that coincide with the institution's expansion plans, such as the new Pasco County campus, new buildings, new technology, new programs, etc. Liaise with gift officers and other Foundation colleagues on naming opportunities, rights, and formal naming agreements. Responsible for all Donor Relations' recognition/naming policies and procedures, from drafting new to maintaining and managing existing policies and procedures. Manage and execute the installation and update of donor recognition walls, collaborating with the Foundation Communications Officer, Digital Marketing Specialist and Manager of Donor Engagement. Partner with the Manager of Donor Engagement to manage the Foundation's four recognition societies (donors of $1M+). This position will focus most on keeping updated giving information that automatically flags donors for entry to various levels of the society and welcomes new members. Assist with planning for recognition society events. Create method of acknowledging new giving society members at Board meetings in consultation with Foundation President.

 

Strategic relationships/partnerships

  • Seek to deepen donor relationships at all levels, following the donor matrix, which guides Donor Relations and gift officers providing an appropriate level of recognition and stewardship at various levels of giving. Meet regularly with gift officers and Foundation leadership to define stewardship opportunities and upcoming needs. Work closely with senior leaders to ensure effective and streamlined processes across all functions, linking database analytics, finance, gift processing, donor management, and philanthropy. Provide thorough, accurate, and timely responses to all requests for information and demonstrate exemplary customer service in all exchanges. Develop systems with effective use of information technology, including databases, project management systems, and spreadsheets, necessary to track and streamline donor relations processes, and share with Foundation leadership.

 

Leadership

  • Research emerging trends and best practices in all areas of Donor Relations and share with Foundation team members. Track and manage expenses within Donor Acknowledgment, Stewardship, and Recognition; periodically review and update, determining cost effectiveness of each project and program, making changes in methods as needed. Execute additional duties as assigned.

 

Ideal Candidate will have:

  • Master’s Degree or Bachelor’s Degree in Fundraising, Communications, Public Relations, Journalism or other related field
  • Minimum of eight (8) years experience in Donor Relations or Development in a fund-raising setting and/or within a complex organization such as health care or higher education.
  • Experience working with development leadership and gift officers to create high-level recognition and stewardship vehicles.

 

  • Strong communication skills: written, oral, and listening. Attention to detail, creativity, and a talent for producing engaging and well-crafted stewardship and recognition pieces. Relevant experience with data management is required. Demonstrated experience with stewardship and recognition techniques, with clear understanding of how donor relations drives engagement, retention, and can increase donor giving over the lifetime of the donor. Experience with Raiser's Edge or RE NXT is a plus.

Qualifications:

  • Bachelor’s Degree in Fundraising, Marketing/PR, Commutations, English, Non-profit Management, or other related field
  • Minimum of eight (8) years experience in Donor Relations or Development in a fund-raising setting and/or within a complex organization such as health care or higher education.
  • Experience working with development leadership and gift officers to create high-level recognition and stewardship vehicles.
