Job Summary

The Office Manager for Aux Dining Services supervises a team of administrative support staff and oversees all aspects of the organizational needs supporting the $30+M in revenues within RIT Dining operations. The position manages, organizes, and coordinates the overall administrative and office operations provides strategic counsel and facilitates organizational effectiveness and efficiency.

Job Responsibilities

Anticipated work hours: M-F 8:00 am-4:30 pm (hybrid work schedule)

The Administrative Office Manager has a comprehensive understanding of the department's administrative operations so that they may provide continuity of business. The position serves as the primary liaison with key stakeholders. The Administrative Office Manager is expected to be both self-directed and collaborative, to interact professionally and informally with individuals inside and outside the university, and exercise discretion and judgment in addressing sensitive or protected information on students and staff.

Nature of Work

This position's primary focus is coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Problems and issues are unclear, complex, span a range of areas, and may require understanding the broader set of issues. Creativity and ingenuity are expected to recommend solutions to complex problems and new challenges. Work consists of leading daily operations within an area that directly impacts departmental results. Work is performed under little or no guidance and assigned in the form of broad objectives. Serves as a team lead responsible for training and reviewing the work of other employees. Delegate tasks to other team members and be responsible for reviewing the work product.

Examples of Job Duties

Directly supervises a team of 3+ administrative support staff. This includes hiring, termination, training, development, engagement, and performance review. Assigns and monitors workload and schedules. Administrative support staff performs duties including preparing correspondence and reports; travel arrangements; maintaining calendars and schedules; meeting and event assistance; purchasing/fiscal support; timekeeping/payroll-related transaction support; maintaining databases and records.
Sets policies and procedures for training, coaching, counseling, and career development for staff.
Leads cross-functional meetings addressing specific operational issues and develops recommendations and action plans for their resolution.
Work closely with leaders to understand and support the strategic goals of the department/division/college. Collect and analyze data from multiple sources to analyze historical trends and forecast needs concerning staffing, financial resources, space, etc.
Create and deliver presentations. Provide advice to leaders on addressing constraints and using limited resources best.
Develops, coordinates, and tracks assigned office with particular emphasis on attention to detail, managing and adhering to timelines, and serving as team lead for office on department/division-wide projects.
Prioritizes and delegates overall office workflow and determines resource allocation to department/office needs.
Creates and establishes new or revised work procedures, processes, and operating practices to improve overall operations and compliance.
Researches and conducts independent data analysis to provide creative solutions to various administrative problems and complex inquiries, sometimes highly confidential and sensitive.
Designs and delivers training to office staff on various internal processes, controls, and compliance matters.

Required Qualifications

Associate’s degree (or equivalent experience) in business administration or related field
• six years of general office/administrative experience.
• one year of supervisory or serving as lead experience.
• Knowledge of Microsoft Office Suite: Word, Excel, PowerPoint; Adobe; and email programs required
• Knowledge of Google Workspace preferred
