Job Description


The Senior Coordinator, Disbursements will be responsible for accurate, timely and discretionary processing of Accounts Payable functions. The candidate will coordinate between the vendor/supplier, BCM departments, and Procurement on timely posting of goods receipts, funds availability, pricing/quantity discrepancies, open credits, order holds, etc.


Assists Management with researching credit holds for assigned vendors and developing a clear action plan. Position is responsible for reviewing, researching and resolving supplier and vendor invoice issues. Serve as a preceptor and resource to entry level staff.

Job Duties

  • Support department's customer service based model which contributes to the success of the organization
  • Serve as a preceptor, mentor and resource to incoming staff/new hires. 
  • Review invoices for processing according to established purchasing guidelines and practices to ensure accurate and timely payments.
  • Communicate with internal and external customers in the P2P workflow such as Procurement, Baylor departments/end users and suppliers for timely processing and resolution of outstanding invoices.
  • Routinely communicate with the Accounting department for monthly accruals and with Treasury and BCM banking partners for processing of daily wires and ACH payments including researching payment failures. 
  • Prepare and analyze monthly reports to review invoice data such as vendor statements, blocked reports, and open payables to ensure all credits and debits are applied accurately and past due invoices are cleared timely.
  • Prepare journal entries to make corrections/adjustments for returned checks, credit card fees, bank account analysis fee and any other discrepancies or adjustments.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

  • Effective written, verbal communication and customer skills needed for interaction with our internal and external customers.
