The Associate Director works to create and implement strategic annual and long-term plans designed to engage alumni through various events and activities that encourage volunteerism and lifetime engagement with Ball State University. The associate director specifically leads efforts with our regional alumni communities and other community groups as assigned to inspire participation in Ball State’s Culture of Beneficence to advance the University’s enduring values. This includes but is not limited to students, alumni, family, friends and benefactors. As an Alumni Engagement Officer the associate director will carry of portfolio within the Ball State community with identified engagement metrics. Additionally, the associate director is responsible for assisting with key University engagement activities such as Homecoming, Alumni and Benefactor Dinner, and One Ball State Day.

As a primary point of contact with the Ball State community, the Associate Director of Engagement Programs must be able to represent the University in a professional, enthusiastic manner with a focus on constituent service.

Job Function:

As an Alumni Engagement Officer the associate director will carry of portfolio within the Ball State community with identified engagement metrics. Additionally, the associate director is responsible for assisting with key University engagement activities such as Homecoming, Alumni and Benefactor Dinner, and One Ball State Day.

Minimum Education:

Bachelor's degree.

Preferred Education:

Master’s degree.

Minimum Experience:

Three years of relevant work experience.

Preferred Experience:

  • Experience in higher education setting and working with alumni chapters, volunteers, and regional engagement strategy.
  • Volunteer recruitment, retention, and management skills.
  • Working knowledge of Blackbaud or other CRM database system.
  • Experience planning complex meetings and events.
  • Ability to gain familiarity with relevant trends (at peer institutions as well as outside higher education) and recommend innovative and improved practices.
  • Commitment to promoting and enhancing diversity, equity, and inclusion.

Duties and Responsibilities:

  • Serve as primary point of contact for alumni community leaders; provide high-level guidance to regional alumni communities. Through ongoing communication, coordination, training, and the support of various programs, ensure robust engagement opportunities for the University’s constituents.
  • Identify, train, and supervise volunteers in their leadership positions.
  • Work to establish and maintain interest/practice area alumni groups.
  • Design, implement, and manage alumni communities and programming in alignment with overall alumni engagement goals and strategy including mentoring, lifetime learning, and engagement pipeline development.
  • Draft guidelines on alumni community operations for leaders and manage community policies and procedures.
  • Coordinate signature event strategy and implementation plans with alumni communities.
  • Develop templates and resources for volunteers to effectively engage with alumni in their areas; maintain community website accordingly.
  • Manage regional scholarship process and programs and facilitate recognition opportunities.
  • Research best practices and implement strategy for volunteer-led engagement.
  • Manage a stewardship and engagement portfolio of assigned alumni in an effort to engage, support and identify prospects. Meet or exceed associated metrics.
  • Partner with Admissions to advance student enrollment and mentoring efforts in key market areas. Serve as coordinator for key volunteer requests for VIP student campus visits.
  • Manage budget requests, maintain records; review budget and expenditures for all programs administered.
  • Perform other related duties as assigned.
  • When appropriate and needed, represent the Alumni Association at programs and events.

  • Track and record alumni involvement, event attendance, and contact information resulting from above duties.
