Departmental Overview

The UC Berkeley Center for the Science of Psychedelics (BCSP) a new research center exploring psychedelics as tools for understanding the brain and mind, enhancing well-being, and deepening spirituality.

Our work has three key pillars; 1) world-leading academic research into the role and nature of psychedelics, 2) a best-in-class training program for psychedelic-assisted therapists, and 3) an agenda-setting program of public education & journalism about psychedelic science, history, politics, culture, and therapeutic value.

This new role of BCSP Finance & Operations Manager will report to the Executive Director and provide comprehensive operational, financial, and administrative support for the BCSP. The post-holder will require or develop an excellent knowledge of campus policies and procedures, and the ability to flexibly apply those policies to help realize the Center's business objectives.

They will work with the Executive Director to ensure sound management of the Center's operations, and liaise with campus partners to ensure that the Center's procurement, contracting, human resources, and compliance needs are met.

The Finance & Operations Manager will also have responsibility for good financial management of the BCSP. They will play a leading role in preparing budgets, management accounts, monitoring income and expenditure, and ensuring that projects & programs are fiscally responsible.

Responsibilities

• Manages, plans and administers a range of administrative operations in a small to medium academic department, or a small to medium non-academic department or program.
• Provides high level confidential support for Executive Director and senior faculty, prioritizing conflicting needs of the Center and individual stakeholders, and follows-through on projects to successful completion, often with stringent deadline pressures, including schedule changes or additions based on advanced understanding of dynamic and competing demands for the time and attention of senior Center faculty.
• Works with all Center staff to coordinate budgetary/financial management, human resources, IT, facilities, contracts and grants, communications and development activities. Manages service-provider contracts and related administration needs. Analyzes staffing needs, recommends FTE changes, and drafts job descriptions in partnership with the ED. Coordinates and/or oversees communication of information among Center staff on a timely and appropriate basis. Administrative operations include budgetary financial management and human resources and may include some of the following functions: IT, facilities, student services, and / or contracts and grants. Develops and prepares budgets and financial reports for funding which may be complex. Performs recharge administration.
• Coordinates and participates in a variety of human resources activities including employment, training, classification, and ensuring the completion of forms and documents related to HR and Payroll for unit / department. Gathers, analyzes, prepares and summarizes financial and HR reports.
• Represents the Center on business affairs with the HWNI and campus and serves on committees Leads administrative team to ensure all day-to-day issues are dealt with through informal check- ins. May delegate tasks to team members, track progress, and ensure deadlines are met. Go-to person for day-to-day operational guidance. May coach employees as needed. Performs and/or oversees special projects or assignments that are sensitive or complex in nature. Provides analysis for complex budgetary funding, financial and resource projects.
• Completes critical administrative duties, including drafting correspondence, and other tasks to facilitate leadership's ability to lead the Center.

Required Qualifications

• Advanced knowledge of rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management.
• Advanced knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees.
• Knowledge of common computer application programs.
• Advanced knowledge of a variety of administrative operations activities such as events planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
• Advanced interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills.

Preferred Qualifications

• Advanced skills in short and long term strategic planning, analysis and problem-solving and customer service.

Salary & Benefits
