Basic functions: The purpose of the Assistant Director of Event and Game Operations is to assist the Assistant Athletics Director of Event and Game Operations in all facets in relation to internal and external events held within the Athletics Department. Key role will be event manager/sport oversight for assigned sports. In addition to sport oversight, the Assistant Director is responsible for coordinating all aspects of special events and facility rentals held within athletic department facilities.
Maintain key working relationships with coaches, staff, visiting teams, patrons, and external constituents regarding events. Work hand in hand with event operations and facilities (in addition to all other departments) to produce quality execution of all events, internal and external. Draft and adapt policies, procedures, manuals, correspondence, reports, and services for event management data. This includes facility rental contract execution, procurement, and financial review. Assist in conducting Big 12 Conference and NCAA post season championships. Perform other job-related duties as assigned.
Essential Functions:
• Serve as onsite manager at internal/external events; schedule and monitor events and other activities held in athletic facilities. (Essential 50%)
• Assist with Big 12 Conference and NCAA post season events. (Essential 10%)
• Facilitate correspondence with internal/external constituents. (Essential 10%)
• Set-up/Tear down of event equipment and facility needs for events. (Essential 10%)
• Scheduling staffing plans and operations plans for events. (Essential 5%)
• Drafting policies, procedures, manuals, reports, correspondence for event management department. (Essential 5%)
• Scheduling staffing plans and operations plans for events. (Essential 5%)
• Phone and other correspondence to event questions and concerns. (Essential 5%)
• Adhere to all department, university, conference and NCAA rules and regulations (Essential 5%)

 

Job Requirements

--- 

Required Education: Bachelor's degree AND

  • 12 months experience without a degree in event planning and coordination, outreach or public relations, or related field
 

 Skills:   

• Some experience planning and/or working public events
• Experience with facility/event scheduling programs
• Able to multi-task with various projects while maintaining high accessibility and approachability
• Excellent internal and external customer service skills to ensure that events are in line with the goals of the department
• Goal and Task Oriented
• Competent on the spot decision making and problem solving
• Must be able to work nights, weekends, and some holidays on a frequent basis
• Highly organized
• Ability to communication professionally with administrators, coaches, staff members, and students
• Negotiating/working with external entities
• Direct communication style; able to give clear specific directions in hectic settings
• Good written and verbal reporting skills for project evaluations
• Must be able to engage in repetitive motions, communicate and drive
• Must be able to lift 15-50 lbs

 

Certifications:
  •  Valid Driver's License

Advertised Physical Requirements: 

  • Ability to lift heavy objects 15 to 50 pounds
  • Ability to climb ladders, crouch, crawl, bend.
  • Ability to stand for extended periods.
Department Preferences

 

• Master's degree in sports management or related field.
• 12 to 24 months Event Management and Operations.
