OU HSC is one of only four comprehensive academic health centers in the nation with seven professional colleges. We are currently building world-class institutes for the treatment of diabetes and cancer. This position is the Primary reservationist for Student Union events utilizing Event Management Software (EMS). Prepares Student Union conference rooms for various functions. Serves as liaison between customers, catering, and building staff. Provides campus information to tenants and visitors.

Duties:

  • Coordinates, plans, monitors logistics, and provides support for events and conferences
  • Assists with the coordination, preparation and delivery of events and conferences
  • Coordinates scheduling of activities
  • Provides logistical support including event schedules, booking venues, food and beverage requirements and managing participant registration
  • Arranges lodging and travel
  • Generates correspondence and forms
  • Orders, prints and distributes materials
  • Facilitates room set-up and audio-visual needs
  • Assists with budget planning and cost estimates
  • Compiles reports and maintains event/conference related data
  • Monitors and responds to email inquiries for each event
  • Performs various duties as needed to successfully fulfill the function of the position
 

Job Requirements

Education: Bachelor's degree.

Experience:  12 months experience in event planning and coordination, outreach or public relations.

Equivalency/Substitution:  Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months experience

Skills:

  • Highly organized and ability to handle multiple projects and deadlines
  • Detail oriented for accuracy of data and information
  • Ability to accurately read and understand written materials and instructions
  • Customer service skills
  • Proficient in Microsoft Office (Word, Outlook, Excel, and PowerPoint)
  • Ability to effectively communicate verbally and in writing

Certifications:

  • Valid Oklahoma Driver's License in order to drive University vehicles or ability to obtain within 30 days of hire date

Working Conditions:

  • Physical: Ability to engage in repetitive motions. Ability to communicate verbally in order to express oneself and exchange detailed information with others. Ability to lift up to 50 lbs. 
  • Environmental: Frequent exposure to pressure caused by deadlines and busy periods. Requires contact with other departments and university officials.  May be required to travel.

Departmental Preferences:

  • Responsible for reserving Student Union conference rooms using Event Management Software
  • Meets with customers to coordinate details
  • Responsible for entering data and maintaining records and files for each event
  • Acts as liaison to organize and coordinate room preparation for meetings/conferences including but not limited to communication with General Services, Site Support, Information Technology, and catering
  • Leads and assigns Student Assistants to configure conference rooms, table set up, AV equipment, and welcoming vendors
  • Ensures coverage and staffing for events
  • Ensures general facility upkeep and appearance
  • Opens and closes facility, as needed
  • Serves as a resource for campus information including directions to campus buildings and general information about the campus
  • Provides Student Union tenants with information about renovations and remodels, maintenance, and events
  • Serves as a Student Union representative on various committees and staff meetings within HSC Student Affairs
  • Coordinates with HSC Student Affairs staff on any large events held in the Student Union
  • Reports internal and external complaints to supervisor
  • Assists supervisor with solutions to conference/meeting room problems and tenant complaints
  • Keeps supervisor informed of repeat issues
  • Assists in the training and supervision of Student Assistants
  • Ensures timesheets are completed and signed in a timely manner
  • Reports employee discipline issues to supervisor
  • Ensures Student Assistants, staff, and vendors abide by University safety practices to protect the health and safety of personnel and property
  • Performs other duties as assigned by the supervisor
