Education Technical Assistance Services (EDUTAS) at the University of Oklahoma Outreach/College of Continuing Education seeks a project assistant/program coordinator to support implementation of grants, contracts, and registration-supported events in Oklahoma and Arkansas, specifically the Arkansas Leadership Academy's Reach program. EDUTAS engages and leads partners and stakeholders in learning conversations and collaborative work that improve education systems, policies, and practices. Our technical assistance and professional learning services focus on:

 

  • Guiding complex systems change processes and initiatives 
  • Improving instructional practice using evidence-based strategies
  • Developing leaders’ capacity for building collective teacher efficacy to improve learner outcomes; and
  • Driving equity through inclusive, excellent educational opportunities.

EDUTAS projects involve delivering professional learning services virtually and in face-to-face environments.  Examples of prior and current projects include Oklahoma’s Moving UP cohort-based professional learning experience for assistant and early career principals; the Arkansas Leadership Academy (ALA), which includes multiple professional learning pathways for current and aspiring educational leaders; virtual and face-to-face communities of practice; English as a Second Language certification preparation course; strategic planning, visioning, and stakeholder engagement in design and development of a future college and continuing education institute; and one-time and episodic workshops on evidence-based instructional practices and leadership strategies.

The ALA Assistant/Reach Coordinator will support the goals of EDUTAS as directed by the EDUTAS Director and/or Project Director of assigned project(s). The successful candidate will work closely with the EDUTAS leadership team to coordinate various communication, programmatic, financial, and administrative functions within the department. The Project Assistant will support implementation of professional learning and collaborative meetings by arranging venues, travel, resources and materials, agendas, and schedules. Attention to detail and initiative are important characteristics for this position as this individual is also responsible for managing contracts with subject matter experts and ensuring project tasks are completed on time and within budget. This individual will assist with promotion of EDTUAS projects, review printed and digital materials for quality assurance, and often send communication, and post on social media platforms on behalf of the Director and the department. Thus, exceptional communication skills are required.

Duties:

  1. Support implementation of planned projects through operation of technology, including Microsoft Office, SmartSheets, Eventbrite, website, Zoom, and Concur.
  2. Coordinate virtual learning communities, including scheduling, contracting, posting resources, and communicating with the presenters and participants.
  3. Arrange venues, travel, resources and materials, agendas, and schedules for professional learning offerings.
  4. Manage contracts with subject matter experts and consultants.
  5. Ensure project tasks are completed on time and within budget.
  6. Prepare and review printed and digital materials for quality assurance.
  7. Prepare communication on behalf of the Director and the department.
  8. Collaborate with project partners, post on social media, and coordinate with department staff.
  9. Participate in project leadership team meetings and on-site and virtual professional learning offerings.
  10. Other duties as assigned.

 

 

Job Requirements

Required Education: Bachelor's degree, AND:

  • 36 months of experience in accounting, business, program management, or related experience.

Equivalent/Substitution: Will accept 48 months of related experience in lieu of a Bachelor's degree for a total of 84 months of related experience

Skills:

  • Ability to interact effectively with the university community, project partners and participants
  • Knowledge of adult learning principles
  • Demonstrated oral and written communication skills
  • Must be able to perform basic data analysis
  • Must be able to perform basic math skills
  • Proficient in Microsoft Office programs to include Word, Excel and Powerpoint. Will accept proficiency in Google Docs, Sheets, and Slides as a substitute.
  • Must be able to demonstrate attention to detail and initiative

Special Requirements:

  • Some exposure to pressure caused by deadlines and busy periods. Position regularly works weekdays, although occasional nights, weekends, holidays, and non-traditional hours can be expected. Must be able to travel.
  • May either work in Norman, Oklahoma, or remotely in Arkansas or Oklahoma, with ability to travel to Norman and Arkansas as needed

  • Ability to lift 30 pounds. Ability to sit, stand, for extended periods of time.  

Departmental Preferences:

  • Master's degree
  • Project, office, or classroom management in a school/education setting 
  • Experience in the Oklahoma or Arkansas education system
