We are seeking an exceptional individual to join our team as the Front Office Assistant (Administrative Support Assistant II). Under the direction of the department chair and oversight by the department coordinator, the Front Office Assistant provides clerical and administrative support for the Department of Finance by carrying out daily operations in collaboration with office staff. These duties include, but are not limited to, providing office reception duties, answering telephones, greeting visitors, distributing mail, and maintaining and updating physical and computer files. Prepares and types written correspondence, taking minutes for meetings, and edits written materials. Makes travel and lodging arrangements, and processes travel request and reimbursement authorizations for faculty, staff, and search candidates. Provides oversight and training for student workers, and processes student workers employment contracts and attendance reports. Provides administrative support and guidance to faculty and students, including textbook orders and processing of permits, grade records, and other related documents. Assists with departmental events and projects related to student success. Including but not limited to the coordination of the student mentoring. Requests facility work orders. Maintains office equipment and provides equipment training. May reconcile department p-card. May act as department DITC. Works with colleagues across the college and university. Attends training and relevant departmental and college meetings. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.
