The School of Visual Arts is seeking to fill a needed staff position in the school's central office. This Assistant will serve a critical student support role, dedicated to both Undergraduate and Graduate Student Services, serving as a primary point of contact for current students. The Assistant will also provide Graduate Student Services, maintaining student records, working with the Graduate College to process applications, and supporting the Graduate Coordinators. Further, students will benefit from the Assistant's work on the Annual Student Exhibition, which will include assisting students in preparing and submitting their entries, coordinating with the museum and Guest Juror, and organizing the Awards Ceremony.  The Assistant will support recruitment efforts, through student tours, compiling a database of prospective students, and serving as a liaison with OAR and the SoVA Recruitment Committee.  The remaining Assistant's duties will be focused on maintaining safe, secure facilities, ensuring a functioning front office, and serving as the Shared Services liaison in our transition to a centralized budget. This position provides consistent reception and delivery receipt of equipment and fragile items.

 

Duties:

  • Performs support-oriented job duties to a Department Head or Manager.  
  • Duties are complex and of an advanced nature, to include but not limited to maintaining files, scheduling appointments, managing inventory, typing, preparing reports and correspondence, distributing information, conducting research and computation, managing office procedures, assisting with budget preparation, and coordinating activities.  
  • Serves as a payroll coordinator and resource to other support personnel. 
  • Performs related duties as assigned to successfully fulfill the function of the position.
 

Job Requirements

Required Education: High School Diploma or GED, AND: 

  • 48 months office, clerical, or administrative experience.

Skills:

  • Advanced knowledge of office procedures.
  • Office management and customer service skills.
  • Advanced knowledge of Microsoft Office Suite (Outlook, Excel, and Word).
  • Excellent interpersonal skills.
  • Ability to work independently and as a team player.
  • Ability to complete tasks in an efficient and timely manner.
  • Must be detail oriented for accuracy of data and information.
  • Ability to multitask, be organized, and self-motivated.
  • Ability to work in stressful situations and meet deadlines in a timely manner.
  • Ability to communicate verbally and in writing.
