Ball State University Information Technology is seeking a Systems and Application Patch Manager. In this role you be responsible for applying patches and updates to both operating systems and to enterprise applications. Working with internal team members within Information Technology and constituents across campus you will determine the cadence for patch installation. Using results from security scans of the environment you will be able to set the appropriate priority in order to secure Ball State’s enterprise resources. Job Function:

Provide patch management for all enterprise systems and services including operating system and application patching. Optimize patch management and deployment for institutional resources. Coordinate patch deployment with functional units and other application owners. Work across areas within Information Technology managing patch levels for institutional services and systems.

Minimum Education:

Bachelor's degree from an accredited college or university by date of appointment.
Or, in lieu of Bachelor's degree:
Associate’s degree plus an additional combination of education or experience in IT equivalent to two years.
Or
High school diploma or GED plus an additional combination of education or experience in IT equivalent to four years

Minimum Experience:

Demonstrated technical knowledge in patch deployment and administering patch management solutions; at least two years of experience in server management; experience deploying, rolling back, and maintaining patches for both applications and operating systems; ability to communicate with functional and technical audiences describing changes and potential challenges.

Preferred Experience:

Extensive experience with patch management, patching solutions, and change management procedures; technical knowledge in troubleshooting technical problems, log analysis, and system configuration; expertise in communicating with technical and functional areas describing technical details for a wide audience; general server management skills for both on premise installations along with major cloud-based vendors; extensive experience with enterprise patch management.

Duties and Responsibilities:

  • Schedule and implement operating system patches for enterprise servers within Information Technology. This includes Linux, Windows, and all other server based operating systems both on premise and cloud-based resources. Collaborate with system owners in order to best address any security vulnerabilities in systems.

  • Evaluate and implement automated patch management solutions where appropriate. Apply automation when possible to reduce the amount of manual processing, increasing the level of consistency and standardization. Streamline patch management and deployment with industry standard tools and utilities.

  • Implement an institutional enterprise patching portal to provide timely and accurate insights into the current version of operating systems, applications, and application components. Maintain the portal as a single source of current patch levels for both systems and applications.

  • Coordinate patching efforts with Information Security Services ensuring patch efforts are addressing the vulnerabilities revealed by enterprise security scans. In situations where vendor requirements conflict with security best practices, coordinate mitigation plans to reduce the risks presented by vulnerable systems. Communicate application shortcomings with application owner.

  • Create a proactive plan to keep all operating system versions well within the vendor’s supportability window. Coordinate the necessary upgrades of operating systems avoiding extended vendor support windows. Coordinate operating system upgrades with application vendors confirming that the application is supported by upgraded versions of the operating system.

  • Document procedures for operating system and application patch management. Ensure procedures provide sufficient detail to allow peers to accomplish tasking in the event you are unavailable.

  • Provide adequate communication with constituents including sufficient lead time for users to make appropriate plans for scheduled downtime associated with patches. Fill out all necessary change requests and receive approval prior to patch installation. Provide sufficient testing of patches allowing functional users time to test prior to migrating patches to production.


  • When necessary, engage vendor support to assist with issues introduced by patch installation. Proactively involve vendor support making contact prior to the actual patch installation when appropriate to ensure the safe and successful patch installation.

  • For critical updates, create rollback plans in the event installation is not successful. Take the institutional calendar into consideration honoring and accommodating the campus schedule and important events reducing the opportunity for unnecessary downtime.

  • Leverage existing technologies such as Group Policy, Microsoft Configuration Manager/Microsoft Endpoint Configuration Manager, and Solarwinds to help report and manage and report patch levels for services within the environment.

  • Keep apprised of operating system and application level patch versions and monitor for new patches. Make vendor documentation available to system owners and functional users describing new features and updates explained at the appropriate technical level for members to understand.

  • Perform other related duties as assigned.
