Summary

The Henry J.N. Taub Department of Emergency Medicine (EM) at Baylor College of Medicine is recruiting a proactive and action-oriented Business Operations Manager who will have primary leadership oversight of the department's finances and research portfolio. EM serves the community by providing high-quality, compassionate emergency care to a diverse patient population. In addition, educating and mentoring the next generation of leaders in emergency medicine is a top priority of the department. This position will work two days remote and three days onsite.

Job Duties

  • Oversee research administration and directs research support staff (financial planning, budget negotiation, financial accounting (set-up/reconciliation/closeout), personnel cost management, pre/post award management, research financial reporting, research staff training. 
  • Manage development of education, research, seed, and clinical budgets and developing those annual budgets. Track all revenue/expenses for the department on an ongoing basis. Serve as first point of contact for budget and accounting questions; issues are escalated to Administrator.
  • Approve budget spending requests for Education Division, (includes residency, fellowship, UME programs, ACLS/BLS program), Research, Clinical Operations. 
  • Plan AHA program budget and train direct report to manage program and budget.
  • Oversee philanthropic activity and revenue generated.
  • Lead communication with managers in Finance/Accounting, Purchasing, SPO, Grants and Contracts, PBS, Affiliate Services.
  • Train staff on SAP Finance, SRM/Purchasing, and department accounting.
  • Direct transition to ACLS event management software and create internal management structure within software.
  • Create high-level and forecast reports for department leaders as needed. Has knowledge of department operations to do this independently.
  • Review productivity reports across all sites; troubleshoot charge capture issues across all sites.
  • Manage contract development, review and renewal processes. Includes review and validation of invoices and facilitate payments for all clinical contracts (TCH, BSLMC, McNair, MDACC).
  • Define work responsibilities and prioritization of staff, setting performance development plans and goals, and conducting annual performance evaluations. Review resumes and interview direct report positions to ensure compatible team dynamics while recruiting. Train, grow and mentor staff reporting directly to manager. 
  • Establish staffing plans, schedules and productivity guidelines according to budget availability and department/unit needs. Recognize and address performance barriers and provide coaching for direct reports.
  • Collaborate with HR supervisor to manage the human resources activities for the unit/department, including hiring, terminations, salary, and disciplinary actions. 
  • Lead department-wide process improvement projects.
  • Engage in College projects as representative from department, alongside Administrator.
  • Assist Chair with presentations/reports for requests.
  • Assist administrator with clinical operations budget across 4 sites.
  • Work to help establish department alumni outreach program.

Minimum Qualifications

  • Bachelor's degree. 
  • Four years of relevant experience. 

Preferred Qualifications

  • Master's degree and two years of relevant experience may also be considered.
  • Experience with clinical trials finance including contract negotiation and post-award management.
