Coordinate all MBA and certificate programs office operations; assist the graduate business programs Director, Assistant Director, and faculty; assist graduate assistants in completing program, college, and university goals.

Job Function:

Coordinate all MBA and certificate programs office operations; assist the graduate business programs Director, Assistant Director, and faculty; assist graduate assistants in completing program, college, and university goals.

Minimum Education:

Associate’s Degree or equivalent.

Preferred Education:

Bachelor’s Degree from an accredited institution.

Minimum Experience:

One year of experience of office administration or related experience.

Preferred Experience:

Supervisory experience, experience in an academic office; Slate, Banner, website maintenance and social media management, and proficiencies with Microsoft Office.

Duties and Responsibilities:

  • Process applications for review; manage flow of application process; communicate with prospects who submit RFIs or have incomplete applications.
  • Prepare admission recommendations for review; maintain prospect, applicant, and student database.
  • Plan and schedule meetings and events as well as support those events by attending; includes Fall Kickoff, Advisory Board, faculty appreciation lunch and MBA retreat.
  • Maintain central database for syllabi and textbook information; communicate deadlines and relevant dates to students.
  • Provide secretarial support to the Graduate Curriculum Committee, Advisory Board, and team meetings.
  • Maintain MBA website; assist in maintaining social media pages for the department.
  • Provide administrative support to the Graduate Business Programs Director and Assistant Director; includes schedule meetings; prepare or review and edit documents; send emails on behalf of the Director; schedule travel; process program expenditures.
  • Answer incoming phone calls to the office; handle office mail; process miscellaneous university forms.
  • Help interview, hire, train, supervise, authorize time, and terminate student employees in the graduate business programs office; advise graduate assistants and authorize their time; monitor payroll functions on the Kronos system for graduate assistants; enter supervisor sign-offs in Kronos.
  • Assist the Graduate Business Programs Director and Assistant Director with the facilitation and administration of executive education and lifelong learning through the Miller College of Business.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
  • Manage student survey process; collect data and complete survey for nationally published rankings.
