The Office of the Senior Vice President and Provost seeks an organized, collaborative staff member to join the Academic Personnel Records team. This position will interact frequently with departments under Academic Affairs, providing centralized customer service in the processing of their academic personnel transactions and management of the related relevant data within University policy. This position will report to the Director of the Academic Personnel Records. All employees of the Provost Office are required to be accessible and cooperative and to adhere to the highest standards of professionalism, customer service and ethics.

Job Duties:

  • Midlevel Approver: Review, research and approve personnel action forms (ePAFs and paper PAFs). Enter relevant data into HR PeopleSoft for assigned departments.
  • Research actions on Banner, PeopleSoft and the OU Directory systems. Making updates as needed.
  • Oversee annual updates and reports to department directory, instructor file, annual reports, IRR audits and purging process. Update and maintain files and documents.
  • Prepare correspondence regarding academic appointments, offers and Board of Regents items.
  • Set up and maintain templates and database for merge documents.
  • Prepare correspondence, support co-workers with training, proofing, and answering questions.
  • Consult with team lead and director as needed.
 

Job Requirements

Required Education: Bachelor's degree, AND:

  • 12 months of related experience.

Equivalency/Substitution:  Will accept 48 months experience in lieu of the Bachelor's degree for a total of 60 months related experience.

Skills:

  • Proficient in Microsoft Office
  • Detail oriented for accuracy of data and information
  • Able to communicate well and build rapport quickly with students, faculty and staff
  • Excellent customer service
  • Highly organized with great attention to detail
  • Experience with a multi-line telephone system

  • None

Advertised Physical Requirements:

  • Must be able to see including color, depth perception and clarity, hear, communicate, engage in repetitive motions, stand, reach and grasp.

Departmental Preferences:

  • PeopleSoft OU Payroll system knowledge
