This position will provide management and coordination of all purchasing processes within the OU/DHS Training and Research Center in support of our customers and their contract operations.   The center provides information technology equipment for contact centers, training spaces, and office spaces in several buildings across the state of Oklahoma.  The center supports several hundred staff working in contact centers, OU or OU leased office spaces, and training facilities.  Equipment to support operations in those spaces and for remote staff working at non-OU locations are procured and tracked by the procurement and inventory manager.

The position will provided coordination and communication regarding facility issues (both for owned and leased locations) in support of customer operations, and assist with activities related to lease generation and processing in accordance with OU Real Estate operations.

Duties include:

  • Coordinating with IT Management to procure required IT and audiovisual equipment.
  • Using OU Purchasing and information systems to procure needed equipment
  • Coordinate with Facility Operations and Contract management to ensure office equipment, furniture, IT equipment is on available.
  • Maintain and Reconcile IT inventory
  • Maintain and Reconcile Furniture inventory
  • Maintain and Reconcile AV inventory.
  • Procure inventory for Training Center clients
  • Maintain active status of all procurement actions
  • Provide reports of procurement status
  • Provide oversight and tracking of all procurement actions
  • Coordination of procurement actions with IT manager, Accounting and Billing, and TC Operations.
  • Coordination of facility support for leased and owned locations, coordinating with landlords and facility support to resolve issues.
  • Assist in Project Management for ongoing initiatives
     
 

Job Requirements

Required Education:  Bachelor degree, AND: 

  • 48 months of related experience.

Equivalent Substitution: Will accept 48 months of experience in lieu of a Bachelors degree to equal 96 months of related experience.

 

Skills:

  • Highly organized and able to handle multiple projects and deadlines
  • Able to effectively evaluate projects & programs and produce comprehensive reports
  • Extremely detail oriented on tracking status of inventory and purchases.
  • Must be able to read and interpret policy as well as State and Federal regulations.

Advertised Physical Requirements:

  • Sits for prolonged periods of time. Use of computer. Manual dexterity. Communicate effectively and listens.
  • Standard Office Environment.
  • Physically inspect inventory and verify status and counts.

Department Preferences:

  • Experience with purchasing processes at University of Oklahoma or other Higher Ed Institutions
  • Experience with vendor relations
  • Experience with facility management
  • Project Management Experience

Supervision: no direct supervisory duties
