Job Summary
The Office of Undergraduate Studies invites applications for the position of Administrative Manager. From admission to graduation, the units of the Office of Undergraduate Studies at the University of Utah provide every student with an exceptional educational experience that empowers them to lead transformational lives wherever their educational and professional futures take them.
The administrative manager provides administrative and budget-related support including but not limited to business planning and goal setting; data/records maintenance, supply management, transcribing/dictation, word processing, telecommunications, office equipment maintenance, and general office support for programs in the Undergraduate Studies and Exceptional Education unit. The Administrative Manager will work collaboratively with other administrative officers in and outside of the unit to find effective solutions to complex problems.
Responsibilities
· Assist unit with business planning, and goal setting consistent with the Office of Undergraduate Education’s strategic planning.
· Assist with the development and tracking of unit budgets.
· Schedule, plan, coordinate, and draft agendas and minutes for meetings of the General Education Curriculum Committee, the Special Fee Review Committee, the Curriculum Policy Review Board, and the Undergraduate Council.
· Collect, organize, and analyze data for specialized reports.
· Assist with website maintenance and updates.
· Timely completion of assigned tasks and duties.
· Ensures customer satisfaction by analyzing complaints, concerns, and suggestions and providing appropriate follow-through.
· Serves as the Administrative Assistant to the Senior Associate Dean for Undergraduate Studies.
Responsibilities
1. Forecasts, develops and implements policies and procedures in the areas of customer service, staff management and budgetary goals and objectives that are consistent with University of Utah’s policies.
2. Markets and promotes new and existing programs and services to internal and external customers.
3. Participates in University-wide committees to establish customer service standards and administrative plans and policies.
4. Facilitates cooperative and collaborative community and institutional relationships.
5. Ensures customer satisfaction by analyzing complaints, concerns and suggestions and providing appropriate follow-through.
6. Develops departmental strategies consistent with the assigned departments continuous quality improvement program.
7. Ensures competency of staff through the development and/or presentation of educational programs and through on going staff performance evaluations.

Minimum Qualifications
Bachelor’s degree in a related area or equivalency (2 years related work experience may be substituted for 1 year of education). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required.

Preferences
A Master’s degree in a related area may be preferred
Experience supporting multiple programs and/or departments.
The ability to communicate effectively and professionally with many different individuals is necessary. The incumbent should be organized, flexible, detail oriented, have the ability to problem solve quickly and have a strong knowledge of general office procedures and processes.
Ability to communicate effectively in writing and verbally to diverse audiences including administrators, faculty, students, and staff.
Ability to thrive in a rapidly evolving environment with a professional, positive attitude, embracing change and adapting to student needs.
