This position is responsible for the preparation and coordination of documentation and invoicing for all branches of the United States Armed Forces and other third-party sponsors that are part of the university waiver program. This position serves students, campus departments, and outside organizations by invoicing sponsors, receiving payments, issuing receipts, and providing a wide variety of other information necessary to have a successful relationship with all parties involved.

  • Prepare and submit all invoices related to tuition assistance for third-party sponsors.
  • Serve as liaison to all branches of the United States Armed Forces regarding student account issues.
  • Correspond with third-party sponsors regarding payments, financial guarantees, and refunds.
  • Provide information on policies and procedures related to financial aid disbursements, scholarships, waivers, and third-party billing.
  • Coordinate credits of Electronic Funds Transfers with accounting division.
  • Research, collect, and analyze information in response to inquiries regarding third-party sponsors and students.
  • Create and maintain third-party accounts, including activating accounts to receive new activity each semester.
  • Process private scholarships in accordance with state and federal guidelines
  • Process faculty and staff university waivers
  • Perform routine audit and reconciliation of accounts to ensure accurate invoicing and receipt of payments.
  • Assist with Bursar phone calls during periods of heavy phone traffic.
 

Job Requirements

Required Education:  High School diploma or GED, AND: 

  • Required: 36 months experience in accounting & bookkeeping

Skills:

  • Proficient in Microsoft Office. 
  • Office skills such as multi-line phone, copying, filing, faxing, ten-key and mail. 
  • Customer Service skills. 
  • Knowledge of standard accounting principles and processes.

Certifications:

  • None

Advertised Physical Requirements:

  • Sitting for prolonged periods. Communicate effectively and listens. Engage in repetitive motion. Use of computer and telephone. Standard Office Environment

Departmental Preferences:

  • Bachelor’s degree and 12 months experience working with the military education system.
  • Advanced Excel skills with the ability to build and manipulate spreadsheets. 
  • Experience in Banner, PeopleSoft, LaserFiche. 
  • Working knowledge of GAE, AFAEMS, WAWF, NETC, and JST. 
  • Familiarity with Veteran’s Affairs education programs.
