Summary

The Pulmonary, Critical Care, and Sleep Medicine section in the Department of Medicine is recruiting a Coordinator, Business Operations to provide general administrative support to the Section Chief, section leadership, and research faculty. This person will be responsible for administrative support for calendar management, processing reimbursements, managing CME budgets, credentialing, payroll questions, physician productivity, procurement, and other general administrative needs.

Job Duties

  • Effectively manages day to day scheduling of meetings and calendar for Section Chief.
  • Prepares and processes documents necessary for purchasing orders and supplies for section
  • Manages expense reimbursements for Chief and other faculty leaders via Concur.
  • Works with section administrator to ensure appropriate FAB is available for purchases and travel.
  • Submits budget revisions.
  • Submits work orders for service and facilities requests.
  • Prepares presentations for Section Faculty Meetings.
  • Prepares Section Annual Report and review with Chief and Section Administrator
  • Serves as Section Website liaison to ensure web content is updated.
  • Processes supplemental pay for sign-on bonuses and transition payments.
  • Assists with new provider credentialing.
  • Assists with preparing visa packets for international recruits.
  • Manages recruitment visits for incoming faculty.
  • Processes and track supply orders.
  • Coordinates section's wide events such as retreat, holiday party, faculty meetings
  • Oversees section CME credit for grand rounds
  • Leads and manages section weekly conference schedule
  • Manages and coordinates section annual report
  • Initiates and completes check requests, cash requests, purchase orders and travel reimbursements
  • Manages external collaborations for Section Chief and related contracts and payments
     

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience. 

Preferred Qualifications

  • Strong organizational skills and multitasker.
  • Self-Motivated, team player who works well under pressure.
