NYTech’s School of Architecture and Design seeks an Administrative Specialist for Graduate Programs in the New York City campus.

Responsibilities
Assist Graduate Directors and SoAD Leadership Team in a wide variety of activities and functions related to the administration of specific academic programs.
Help graduate students and faculty with guidance and problem-solving skills.
Assist and proactively participate in graduate student advising, retention and recruitment initiatives.
Assist with graduate students mentoring; monitor, guide and facilitate students’ good academic standing and timely graduation.
Assist in the preparation of materials and coordination of accreditation activities.
Collaborate on graduate recruitment tasks, including web-based social media strategies, print materials, and events.
Serve as liaison between students and other campus departments (e.g. registrar, bursar, wellness).
Coordinate, maintain and streamline workflow processes with appropriate university departments and administration.
Develop and maintain efficient and confidential record-keeping and filing systems.
Administratively assist with our public events, as well as work occasional evenings to help at School of Architecture and Design lectures and guests. Order food and beverages as needed for meetings and events.
Work with SoAD Manager of Administrative Operations in the Dean’s Office to maintain standard of excellence and efficiency.
Answer phones, respond/follow up on inquiries, open/distribute mail, greet/direct visitors, and schedule meetings with faculty/students/administration
Purchase and maintain office supplies, equipment and computer software for Graduate programs.
Maintain a collegial, collaborative attitude to support a positive working environment.
Perform other duties as assigned.
Qualifications
A Bachelor’s degree and a minimum of 3 years of related experience in a professional work environment or an equivalent combination of education and experience are required.
Must have experience in Microsoft Office Suite (including Word, Excel, OneDrive, and PowerPoint) and Google Docs, and willingness to learn other software.
Experience with event planning and professional work experience in a higher education environment is preferred.
Outstanding organizational, communication, and writing/editing skills are required.
Must be an excellent problem solver with great customer service orientation.
