The Division of Lifetime Learning welcomes applications for a Project Coordinator at the Ball State University Satellite Center located in Fishers, Indiana. This person will coordinate and implement all functions related to training programs including academic courses, professional development and project management. Hybrid work schedule may be possible.

Job Function:

Coordinate and implement all functions related to training programs including academic courses, professional development and project management for the Ball State University Satellite Center located in Fishers, Indiana. Includes customer service and relationship management, including support of programs and initiatives designed to advance the University’s commitment to reciprocal partnerships with local organizations.


Minimum Education:

Bachelor's degree OR an associate degree with two years of relevant experience, OR 4 years of relevant experience will be accepted in lieu of a bachelor's degree.

Minimum Experience:

Over one year of experience with program event, project coordination or related planning and/or management experience; experience working with Microsoft Office Suite.

Preferred Experience:

Knowledge and understanding of Ball State University policies, procedures and organizational structure; ability to work independently; excellent verbal and written communication skills; demonstrated time management and problem-solving skills, ability to effectively manage multiple projects simultaneously.

Duties and Responsibilities:

  • Provide project management services to support Ball State University offerings and community engagement activities of our partners.
  • Develop regular and meaningful connections with internal and external stakeholders and maintain historical data of same in university approved customer relationship management tool.
  • Maintain a marketing database; train and support staff in CRM and create targeted mailing lists; design and distribute email marketing and/or calculate budget of printing and mailing.
  • Manage and maintain the Fishers and Indy Centers’ websites and social media presence, maintain existing content, review and edit work in progress, plan new content and create graphics at the direction of the Lifetime Learning communications strategist.
  • Monitor and log all events, along with financial information for compilation of year-end reports.
  • Assist in the development and execution of professional development courses through marketing support; includes concept creation and defining vertical markets.
  • Develop marketing and promotional pieces for local programs; facilitate discussions with Director and Lifetime Learning communications strategist to capture design and adhere to Marketing & Communications strategy and guidelines.
  • Communicate and request help of program coordinator and/or graduate assistants in special room set ups and provide guidance in daily responsibilities.
  • Administer and track client evaluation and continuous process improvement.
  • Perform other related duties as assigned
  • Assist the Director in fulfilling all of the Center's objectives; fill in for Director in his/her absence.
  • Ensure the Fishers site is secured following events including alarm monitoring; be “on-call” when issues arise to respond to alarm calls.
