The Division of Lifetime Learning welcomes applications for a Program Coordinator at the Ball State University Satellite Center located in Fishers, Indiana. This person will manage office operations; classroom set-ups; and provide student and faculty support services. Hybrid work schedule may be possible.

Job Function:

Manage office operations including accounts receivable and payable, purchase orders, travel reimbursement; classroom set-ups; provide clerical support to the Director including financial transactions and annual reports; provide student and faculty support services including videoconferencing and audio visual connections; provide receptionist duties and support the education and training programs at the Ball State University Satellite Center located in Fishers, Indiana.

Minimum Education:

Associate degree or equivalent in business, technology, or related field OR two years of relevant experience will be accepted in lieu of an associate degree.

Preferred Education:

Bachelor's degree.

Minimum Experience:

Over one year of administrative or related experience.

Preferred Experience:

Experience with budget tracking and account management; excellent customer service skills; extensive working knowledge of Microsoft Word, Excel, and PowerPoint and technical troubleshooting capabilities; demonstrated time management and problem solving skills; ability to communicate effectively both verbally and in writing; additional years of administrative experience.

Duties and Responsibilities:

  • Track and report accounts payable and receivable from internal meetings and events at the Ball State University Satellite Center located in Fishers, IN; prepare and maintain accounting records including payment processing; adhere to university cash handling policy.
  • Assist with manager-on-duty of onsite operational logistics day of event including arrange meeting rooms, welcome guests, troubleshoot technology, order catering and manage cleanup.
  • Greet walk-in guests; answer telephone, check voicemail and email.
  • Maintain Centers' activity calendar and provide year-end report updates, including financial information.
  • Manage basic computer maintenance; includes provide routine troubleshooting and equipment maintenance and repair for laptops, copy machine, projectors, etc.
  • Support academic courses by pulling class rosters, loading class presentations, and videoconference set-up when required.
  • Supply inventory and ordering as necessary.
  • Support the incubation of new initiatives including establishing office systems and procedures.
  • Maintain regular and predictable attendance.
  • Perform other related duties as assigned.
