Job Description

Summary

The Department of Medicine, Section of Gastroenterology & Hepatology, is looking to recruit an enthusiastic and reliable Senior Coordinator for day-to-day business operations. The candidate will also additionally support the section's P30 federally funded Digestive Diseases Center under the direction of the Center Administrator and will be located at the main Baylor campus. The ideal candidate will be self-motivated, organized, with great attention to detail. 

 

This position offers the flexibility of a hybrid work arrangement.

Job Duties

Administrative Operations:

  • Provides support to Doctor's daily laboratory, including supporting PI and team requests.
  • Organizes and manages office suite area, including restocking of supplies.
  • Creates shopping carts in SAP for PO (purchase order) creation and manages PO in SAP for financial reconciliation. 
  • Works directly with vendor and Baylor Finance Team on invoicing.  
  • Submits reimbursements in Concur, managing PCARD report and reconciliation. 
  • Maintains calendar, schedule meetings, and organize itinerary for visitors, escorting them to appointments. 
  • Manages timekeeping for the research team personnel. 
  • Manages events and meetings, including creating itinerary, arranging catering/room reservation and working with external guests.
  • Assists with supply/equipment delivery, including asset management and working on inspection/troubleshooting with facilities. 
  • Composes correspondence for both PIs and format presentations. 

 

Digestive Diseases Center:

  • Creates shopping carts for supply ordering and Purchase Orders for vendors, and subawards.
  • Works directly with vendor and Baylor Finance workflow on invoicing.  
  • Maintains calendar, schedule meetings, and organizes itineraries for visitors, escorting attendees to appointments.
  • Maintains membership lists and other relevant web pages.
  • Provides support to DDC members by fielding inquiries and distributing announcements.
  • Compiles and maintains a variety of spreadsheets including member databases, publications, usage reports, and financial or grant activity. 
  • Submits reimbursements in Concur.
  • Creates and manages travel and meeting itineraries for visiting speakers. 

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience. 

Preferred Qualifications

  • Strong organization skills.
  • Self-motivated and able to work within a team.
  • Grant experience is a plus.
