Summary

The Temple, TX based Coordinator, Academic Services is an integrated position with responsibilities providing BCM Temple students with support related to financial aid, records, and registration services. The Coordinator is a generalist position, and offers services such as general counseling and advising to students on the various financial aid programs. The Coordinator also assists with processing involving federal and institutional financial aid programs. In conjunction with the Registrar’s Office, the Coordinator is responsible for providing general support to students related to processing general forms, and general office inquiries.

Job Duties

Student Services

  • Provides students with efficient and courteous service via phone, email, or in person.
  • Serves as the primary point of contact in Temple for general matters related to the Registrar’s Office or Financial Aid.
  • Provides service to BCM-Temple students related to financial aid awarding and registrar’s forms (e.g. transcripts, enrollment verifications, deferments, etc.).
  • Assists with elective registration for medical students.
  • Assists with elective grade entry for medical students.   
  • Assists with one-on-on financial debt management counseling.
  • Assists with documents required to be submitted in person for both units (e.g. identity related documents).
  • Participates actively in cross-training with Financial Aid and Office of the Registrar.
  • Accesses the student information system and other automated systems to process general items and assist students.
  • Facilitates the student’s ability to navigate students through Registrar’s and Financial Aid website, CAMS student portal, and other related forms to ascertain information. 
  • Serves as School Certifying Official for students receiving Veteran Educational Benefits.

 

Reporting

  • Adheres to institutional, state, and federal policies (e.g. FERPA, GLBA, BCM policies).
  • Assists in accreditation data requests and other reporting needs.
  • Participates in internal audit for compliance purposes and accreditations (e.g. LCME and SACSCOC). 

 

General Office Support

  • Assists with updates to the Policy and Procedures Manual and Operations Manual to reflect expansion to BCM-Temple.
  • Utilizes communication tools via zoom and MS Teams to facilitate communication and cross training with BCM-Houston.
  • Participates in the development of the operational calendar.
  • Participates in professional development opportunities related to IES, individual units, or teambuilding.
  • Attends regular meetings with the IES team to remain abreast of office status and updates that may impact students or work functions.
  • Serves as notary for Temple campus.
  • Processes and reroute incoming mail at Temple campus, as needed.
  • Collaborates with BCM-Houston on process improvements or automation for Temple campus.
  • Assists with marketing and promotion of BCM-Temple services.
  • Identifies and implements automated procedures in alignment with BCM-Houston.
  • Answers phones and greets BCM-Temple students, faculty, and staff.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Prior registrar or financial aid experience.
  • Prior work in higher education.
